   Time is running extremely fast and, for people with responsibility, time management is crucial. As a matter of fact, we constantly need information to make decisions, and we have almost no time to create new assets to get this information. We need agility and speed, but time pressure always keeping us busy is a real challenge.

   As a manager at SAP Global IT, the situation described above is exactly the one I am facing. One of my main goals is to satisfy the expectations of my customers, which means setting up a delivery model to optimize the ad equation to the demand, having the right skills and the right capacity for each request, and utilizing the full capacity of the team with all team members 100% allocated to delivery.

 

Complexity

 

   Business is moving extremely fast and changing permanently – as a service provider, our delivery model needs to be continuously adapted to incubate these changes. We must be flexible in planning and agile to follow the changes in business priorities. As a people manager, my responsibility is to keep full transparency on our delivery in this complex environment.

 

Consequence

 

   Agility as a key word: standard reports may help to a certain extent, but the fluctuations require ad hoc capability to create new assets. This is where it refers back to the initial statement,“how can this be achieved when I have no time to invest in technical training and need instantaneous answers, by myself?”

The way I have found – SAP Lumira

   Targeting to not spend more than 1 hour per month on this topic, and willing to avoid any development, I was looking for an easy and reproducible way to bring all the information together to see at a glance where we have overloads and where we have free capacity and how are we spending our time in and out of projects.

   I have written the steps to create with SAP Lumira the views I need to monitor my team toward our mission statement. My intention is to share these use cases as examples on how you can get the information you need from corporate systems and personal files.

    Below is an example created in a couple of minutes out of ERP, showing the actual time distribution of my team. 

1. Total number of hours recorded by each team member in the quarter.

2.  Time recording by employee – making sure everyone has recorded 100 % of his time in the office. We can also see when employees go beyond their quota of hours.

3. Top 10 projects is a key indicator where we spent most of our time – it is extremely important in our interactions with our customers.

4. Time spent by type of task – very important as our engagement is to be as close as possible to 100 % in project time.

   With this view, I can monitor the activities of my team members, optimize the delivery model to spend a maximum of time on customer projects, and bring transparency to my customers about the focus areas of my team upon the pipe of demand from all customers!

   

What made the difference with SAP Lumira ?

   Making the decision to reserve 2 hours – not more – to try to get a result, with no initial reading of any User Guide – it has been amazing to get there with the additional possibility of reusing this work by simply refreshing the data.

   Of course, using it more frequently, I am discovering new functionality and going faster, but the key finding is that whenever a new question comes up, I can help myself when no asset exists to produce a first view, in full autonomy!
