Companies in asset intensive industries such as Oil &Gas, Utilities or Chemicals are challenged by an increasing number of complex asset construction and maintenance projects. Such projects are planned and executed on multiple layers which requires project scheduling tools that can handle such complex project structures. Engineering teams often use for this purpose specialized project management tools such as Oracle P6 or Microsoft Project to handle the complexity of multi layered project schedules  and milestone tracking .

These project management tools are often operated as stand alone solutions without an integration into companies ERP processes. This makes it difficult for project organizations to provide an accurate 360 degree view on all aspects of the project health including cost and schedule performance, procurement status, resource availability etc.

The reason for this disconnect is the complexity to keep the enterprise controlling view used in finance and logistic processes in sync with the project execution structure used by project management. Often these two sides do not map 1:1 and require complex translation rules.


Project Cost Report in SAP S/4HANA


Let's take an example. A project manager who needs to create a new project task in the project plan has to specify and assign an corresponding Work Breakdown Structure (WBS) to this task. This assignment is a major pre-requisite to be able to plan, calculate and report projects costs, consumed materials and spent efforts on different levels of the project or portfolio.

In many cases a new WBS element has to be created, which requires then the involvement of the financial controlling department. This slows down the entire project planning and execution process especially if the communication and workflow is handled manually.

In such cases project reporting will show outdated data as actual values are not synchronized with the companies  ERP core system such as e.g. SAP S/4HANA. Especially in a highly dynamic project environment with large number of project changes these issues will result in inaccurate project reports and therefore lead to false project decision e.g. when project earned value has been calculate based on outdated progress information.

To allow project driven organizations to monitor and control projects more closely and accurately not only from a scheduling perspective but also from an enterprise resource perspective it is crucial to ensure that the structure for project execution and project controlling are always in synch. It is obvious that this synchronization process must be automated to ensure that project management office is capable of handling a large number of projects and is able to meet increasing project demands raised by business owners.
