Requirement

Employee will be entitled 15 days of leave quota after 165 days from hire date then 15 days will be entitled for every six months.

Solution

  1. Daily accrual should happen for the employees, but it cannot be used until the entitlement date.
  2. The accrued amount should get posted on the entitlement date.
  3. Next entitlement date should be fixed

In SAP SuccessFactors Employee central - Time account type we have 2 types of entitlement method. For this specific requirement, we can use Entitlement method in time account type as “Entitled as Transfer” instead using “Entitled as Accrued”

  1. Entitled as Accrued: The employee can use his accrual amount once it is posted to his time account.
  2. Entitled as Transfer: The employee cannot use his posted accrual amount until it is transferred as entitlement to his time account.

Upon choosing the entitlement method as “Entitled as Transferred” 3 new fields will be enabled in Time account type.

Initial Accrual Transfer Date Rule

The purpose of this rule is to set the initial next transfer date (First Entitlement date). As per the requirement, regardless of any condition the initial next transfer date is set to 165 days after the hire date.

Now, whenever an employee is hired in SuccessFactors, for a particular time type his/her entitlement date will be 165 days after the hire date.

Note: The calculated next transfer date will be saved in an object called “Time account type Accrual Transfer”

Accrual Transfer Date Rule

The purpose of this rule to calculate the upcoming transfer date. As per the requirement, regardless of any condition the next transfer date will be set 6 months after the previous transfer date.

Now once after the initial entitlement is posted after 165 days from the hire date, next entitlement date will be 6 months after previous entitlement date.

Note: The calculated next transfer date will be saved in an object called “Time account type Accrual Transfer”

Accrual Transfer Rule

The purpose of the rule is to transfer the accrual amount that was generated till date as entitlement to the time account on next transfer date.

The rule creates a time account detail with below condition is invoked.

  1. The below rule defines the posting date as Next transfer date (Entitlement date).
  2. Amount posted will be the sum of accruals (sum of all the daily accrual accrued till date)
  3. Posting type is entitlement.

Now, on every entitlement date, the sum of daily accrued amount will be posted as entitlement.
