Disconnecting archiving with sendout of documents from SAP

Hello,

we are currently facing a serious problem with our archiving solution, which is also causing failures to send out any emails with invoices from SAP. This is becoming a critical issue for us and we are looking for an alternate temporary solution to the problem.

Is there a possibility to disconnect/unlink the archiving with sendout of docs from SAP? We would like to be able to send out invoices from SAP without archiving them (until the archiving system is available).

Hi Karim, thank you very much for your input. But you are referring to SAP on-premise version, right? We are on SAP Cloud (Public Cloud), so I am not sure it is applicable. Any idea about SAP Public Cloud?

Well from what I can see here you don't have the choice, either it is storing in Document Service in the BTP or you have to go for another external solution:

"As mentioned earlier, the default repository for storing unstructured content in SAP S/4HANA Cloud is Document Service in SAP BTP, Neo environment. This integration is achieved using the SAP managed communication scenario SAP_COM_1008. Using this integration, applications in SAP S/4HANA Cloud can store and read their business documents and ILM content (ADK files) from the document service repository via the content bridge.

Based on the requirements, you can also integrate an external repository with SAP S/4HANA Cloud. This can be achieved using the customer managed communication scenario SAP_COM_0597. Using this integration, applications can store and read their business documents from third-party repositories. This integration is done via SAP Document Management on SAP BTP, Cloud Foundry environment using the CMIS protocol."
 
Now what I don't understand is how/why you have issues with this... as this is 100% managed by SAP they should solve it, and very quickly by the way, isn't it ?

Hi Karim, that is correct, but unfortunately we are not using SAP's KPro, we are using our archiving solution so SAP unfortunately cannot help here..

'Please note the following disclaimer: Non-SAP developed products or technologies may be integrated to SAP S/4HANA Cloud via the communication scenario SAP_COM_0597. However, SAP does not deliver or otherwise make available any pre-packed integration. As such, and notwithstanding anything to the contrary, where customer elects to integrate non-SAP developed products or technologies to SAP S/4HANA Cloud, the customer is solely responsible for: (i) securing and maintaining appropriate rights respective to such non-SAP developed products or technologies; and (ii) all integration by and through this communication scenario, including any impacts such integration may have upon SAP S/4HANA Cloud.'

We are now discussing with them temporary detaching of our archiving solution from SAP completely, but it has never been done before so nobody knows if it will work and what will be the impact.

If my understanding of your situation is correct: S/4HANA + sending of mails with attachments, then the solutions proposed so far will not work because they are about ArchiveLink and you are not using ArchiveLink.

You should check in SKPR08 to find out where is the content category SOFFDB redirected to, probably SOFFHTTP or some Z content category.

SImplest then is to remove that redirection.

Other option is to change the content repository associated to the content category in OACT.

Could also be if you are using BRF+ output management that another setting needs to be changed.

Note that we are using an alternative to OpenText where that kind of issue never happens: attachments are always stored in the SAP DB used as a cache (temporary) so that if there is a connection issue to the external content repository it sill works. They are sent to the content repository in a second step, and removed from the cache after some time (1 day / week / month / quarter).

We can discuss this if you wish, just let me know.

This is an example from our system if you are using condition based output.  If you have records that are set for print and archive a config change may not work directly and you could still be stuck changing condition records (would have to test it). Screenshot 2024-04-05 at 08.44.50.png

Output condition records could be switched from "Print and Archive" to just "Print" while you are working on your archive problem.  It can also be done at the configuration level but that requires transports that would need to be reversed later.

Hello Ryan, thank you very much for your quick response. I have quickly checked out config and I do not see any SSCUI with such option. Did you have any specific SSCUI in mind? Or where could it be switched?
