Why do we migrate?

The Notes functionality was introduced early in the development of SAP Cloud ALM. However, we have encountered certain limitations with this app that prevent us from offering more advanced document management capabilities. As a result, we launched the Documents application last year, which utilizes SAP Fiori elements and follows different architectural guidelines.

The Documents app has now achieved feature parity with the Notes application and even offers additional capabilities. Going forward, we will only be investing in the Documents app. Therefore, it is time for all Notes users to benefit from the enhanced capabilities provided by the Documents app. We will be migrating all Notes into Documents!

How and when will ‘Notes’ be migrated?

The migration will be carried out automatically within a specific timeframe. All information, tags, references you captured in your Notes as well as the relation to processes will be available on the Documents!

To facilitate a smooth transition, we will first switch the Notes app to "Read-only" mode. This means that you will still be able to view your existing Notes, but you will no longer be able to create new ones or to edit existing ones. If you need to create new documentation, we recommend starting to use the Documents app, where we have introduced a new document type called ‘Note’. The actual migration process will take place over a 48-hour period on June 12th-14th. Once the migration is complete, you will find all your Notes in the Documents app. You can easily filter them by selecting the document type ‘Note’. Your migrated Notes will still be visible in the Notes app, allowing you to compare them with the migrated Documents for assurance.

What do you need to do?

There is no immediate action required from your end. However, we encourage you to consider using the Documents app or familiarising yourself with it by exploring the Help documentation. As you become more acquainted with the additional functionality, you may find new ways to utilise your Notes in the future.

After the completion of the Notes migration on June 14th, you can verify that all your Notes are successfully migrated to the Documents app.
