Remember the catering who provides the food for Christmas party? And what about the customer who orders every year giveaways for the annual conference? When having business partners whose activity is limited to certain period in the year, setting them as “Inactive” for the rest of the time is pretty self-evident. It leaves your list of business partners clean and up-to-date when creating marketing documents and generating reports.

But, what if you want reports to consider their activities? Or create for them drafts? For such use cases SAP Business One enables you to select the relevant options and give inactive business partners presence in reports and documents:

When selected, inactive business partners and their related transactions or documents can be visible in reports, and when creating new document selecting an inactive business partner is made available either from the “List of Business Partners” window or manually. Note that you cannot add documents for inactive business partners, only drafts can be added.
