Configure use of generic Actions (Download, Send, Microsoft Excel and Add Fields) of Analytical Reports in SAP Business ByDesign

Customer would like to control use of the general actions like Download, Send and Add Fields in the analytical reports in SAP Business ByDesign. as part of 2105 release the actions would be configurable to be visible / hidden to business users in UI.

In case if customer decide to hide the actions then its by default hidden for all users, customer could select hidden for specific business roles.



New Capabilities

• To Control visibility of general actions in reports, new common task in Business Analytics WoC -> Configure Actions


• Hide actions like Download , Send, Microsoft Excel and Add Fields in analytical reports , so these actions will be hidden for all business users irrespective of their roles.


• Donwload action controls the extraction of data into external file


• Send E-Mail action controls the data to be sent via e-mail


• Add Fields action controls the display of Characteristics in Reports, Selection screen and in Hierarchy and display of Keyfigures in Reports


• To allow the use of above actions to be visible to specific business roles

Benefits for Customers

• Customers can control the visibility (hide / view) the general actions in reports


• Note: user can select the actions to hide for business users. Note that, if selected, the action will be hidden for all users irrespective of their roles. To make the actions visible to specific business roles, assign them to any of listed business roles.

Note: Configure Actions and Settings will be available under Common Tasks Work Center View once the user scopes the business option 'Do you want to configure what actions end users can perform while viewing data in reports?' in business configuration. for more details refer to KBA

To Control visibility of more actions in reports, we have introduced new common task in Business Analytics WoC -> Configure Actions.

after configuring visibility of more actions in reports , user can navigate to any analytical report to check the visibility of more actions (Download , Send, Microsoft Excel and Add Fields).

  • Allows you to download the report to Microsoft Excel® in XML, XLSX, or CSV format. Note that the report opens in read only mode. You can also download data sources in CSV format, and
    reports in PDF
  
  
  • The format and the available fields of the downloaded data source differ from a downloaded report. For example, in a downloaded report, the value and unit of measure are combined in one field whereas in the downloaded data source, the fields are separate. Another example is that there may be key figures only defined for the report, which are not available in the underlying data source.
  
  
  • When you download data in an excel file (xlsx), the date, amount, and quantity fields are formatted according to their types. This helps you to filter the data accordingly.
    To perform ad hoc analyses, open the report in Microsoft Excel®. From the Reports work center view, click View With, and choose the Microsoft Excel option.
