Introduction


In SAP products, notes usually refer to the long texts that you can add to a record of a business object as a comment. In this blog, you're going to learn about how to make the system copy the notes in service contract items to service order items in SAP S/4HANA Cloud.

As of SAP S/4HANA Cloud 2308.1, the following new text type and access sequence are available for service contracts in your configuration environment:

  • Text type: SC01 Service Implementation Instruction

  • Access sequence: S001 Copy from Service Contract to Service Transaction


With this text type and access sequence configured in text object and text determination procedures, the system can copy notes in service contract items to service order items as long as the service contract item is assigned to the service order item. You can create texts of this type in the notes of service contract items so that your technicians onsite can know the service implementation instruction from the relevant service order items.

Business Scenarios


If you have created the service implementation instruction in a service contract item, when this service contract item is assigned to a service order item via service contract determination or creating a service order from a maintenance plan which is linked to the service contract, the system automatically copies the service implementation instruction from the service contract item to the service order item. When a technician responds to the service order, the implementation instruction is available for reference.


Service Implementation Instruction in Service Order Item


Typically, the system performs copying when one of the following three scenarios occurs:

  • Creating a service order item and assign a service contract item to it

  • Editing a service order item and assign a service contract item to it when there’s no original note provided in the service order item)

  • Creating a service order with service contract item assigned through a maintenance plan


How To


Here we explain the three scenarios step by step.

1. Copying service implementation instruction from service contract item to service order item by contract determination – for a newly created service order


1.1 As a customer service manager, you create a service contract with an item in the Manage Service Contracts app, and add a note for the service implementation instruction to the service contract item. You release the service contract item.

1.2. You create a service order with an item in the Manage Service Orders app and assign the service contract item to the service order item.

1.3. In the Notes assignment block, detail page of the service order item, you can see the service implementation instruction copied from the assigned service contract item.

2. Copying service implementation instruction from service contract item to service order item by contract determination – for an editable service order


2.1. As a customer service manager, you create a service order with an item which doesn’t contain any notes in the Manage Service Orders app.

2.2. You create a service contract with an item in the Manage Service Contracts app, adding service implementation instruction to the service contract item. You release the service contract item.

2.3. You edit the service order and assign the service contract item to the service order item.

2.4. In the service order item’s Notes assignment block, you can see the service implementation instruction copied from the assigned service contract item.

3. Copying service implementation instruction from service contract item to service order item by maintenance plan


If you use a service order template and create service order based on a maintenance plan, you can follow the steps below to see how the system copies the notes from service contract items to service order items.

3.1. As a customer service manager, you create a service order template in the Manage Service Order Templates app.

3.2. You create a service contract with an item in the Manage Service Contracts app, adding the service implementation instruction to the service contract item. Release the service contract item.

3.3. As a user with the business role the business role Service Planner - Recurring Service (SAP_BR_SERVICE_PLANNER), you create a maintenance plan with an item in the Create Maintenance Plan app. Add the service contract number and service template number to the maintenance plan item.

3.4. You schedule the maintenance plan and manual call in the Schedule Maintenance Plan - Service app, so that the system creates a service order with the service contract assigned.

3.5. Now you can go to the Manage Service Orders app. In the Notes assignment block, detail page of the service order item, you can see the service implementation instruction already there, copied from the assigned service contract item.
