Managing Data Actions / Multi Actions in File Repository

Here is the new and most awaited feature in SAP Analytics Cloud – Data Actions part has been released and with no doubt it’s really useful on Security part of SAC, whereas now the Data Actions and Multi Actions can be restricted on Folder / File repository level.

Let’s get into the blog for more details on how to restrict / move data actions and multi actions on file repository.

We can now able to manage Data Actions / Multi Actions by saving them into a file structure (under “My Files”) in SAP Analytics Cloud from the release 2023.6.

Before Release 2023.6 :

Currently all Data Actions and Multi Actions are stored centrally as a list under respective toolbars.

After Release 2023.6 :

From the new update we can able to see that under Data Actions and Multi Actions no list will be shown instead only the Recent Files will be visible. This means that only recently opened Data Actions and Multi Actions can be viewed by the user.

How to View/Open existing Data Actions & Multi Actions:

All existing data actions and multi actions can be accessed under “Files / My Files / Public / Data Actions” &  “Files / My Files / Public / Multi Actions”

How to Restrict Data Action / Multi Action (DTA / MTA) Permission:

In order to restrict DTA / MTA on a file repository folder, we can specify two different roles for DTA & MTA which should be assigned by system admin on the “Roles” page. Even there are many combinations of Role Based permissions are possible, here we are taking the below two types as example.

  • Data Action Designer

User with Full Permission (Create, Read, Update, Delete, Execute) which is assigned by the system admin is called as Data Action Designer

  • Data Action User

User without Permission to Create is considered as Data Action User, who have access to (Read, Update, Delete, Execute)

Note: If a user doesn’t have required role-based permissions for data actions, then permissions on file repository level will be restricted.

File Repository Based Restriction:

Asusual the file/folder based restrictions remains the same that we can restrict by sharing the file/folder with (View, Edit, Full Control or Custom) access.

From the file repository we can able to use toolbar to perform Copy, Move or Delete data actions & multi actions.
