How to Set the Employee Data to Obsolete in SAP C4C

Hello Everyone,

This content concentrates on Deleting/ Setting the Employee Data to Obsolete.

To Delete/ Setting the Employee Data to Obsolete, please follow the below steps:

  1. Click on Data Protection and Privacy workcentre, then click on Personal Data Removal workcentre view.Data%20Protection%20Workcentre
  2. Then select “All Employee” from the dropdown query.All%20Employee%20Query
  3. Enter Employee ID in the search bar.Employee%20ID%20Employee%20Name
  4. Select the checkbox for the Employee.Selected%20Employee
  5. Click on Remove Data.Remove%20Data
  6. Marked for deletion button is greyed out.Disabled%20Deletion
  7. Close the tab, Remove Employee Data. Then the prompt appears as “Your entry has been saved | Data removal run with ID XX has been created”. If the message appears as shown, skip to Step No: 19. In this case if the Employee have not deleted please follow all the steps as shown below.Close%20the%20screen
  8. Then go to Business Configuration- Implementation Projects- Click on the line First Implementation.Business%20Configuration
  9. After few seconds the Open Activity List button will be Enabled.Open%20Activity%20List
  10. Click on “All Activities” from the query.All%20Activities
  11. Click on the Name field, then type “Data Retention in the search bar” and click on Enter.Data%20Retention%20Name
  12. Click on the hyperlink “Data Retention Rules for Employees”.Data%20Retention%20Rule%20for%20Employee
  13. The screen will open in a Detailed view with list of Countries available. Click on the Country/ Region field, search in the filter with Relevant Country name. i.e.., I have chosen the country as “United States”.United%20States
  14. Now the current value is 99 in the field Minimum number of Years or Months.99%20Years
  15. Remove the value 99 and change it to 0 in the field Minimum number of Years or Months. Then click on Save button.Saving%20Zero%20Years
  16. ┬áNow follow the steps from 1 to 5, Now the Marked for deletion button is Enabled and checked. Enable the checkbox and click on the “Delete button”.Enable%20checkbox%20for%20Deletion
  17. The Dialog box appears, click on “Yes”.Deletion%20as%20Yes
  18. After executed, the Data Removal Run will be created. Information%20Appears
  19. Click on Data Protection and Privacy workcentre, then click on Common Tasks view and click on “Administer Data Removal Runs” hyperlink.Administer%20Removal%20Runs
  20. Select the query as “All Removal Runs” from the dropdown.All%20Removal%20Runs%20Query
  21. Now you could observe that Status is set to “Obsolete” and Removal failed is marked as “No”. This means the Run is Successful and Employee got deleted from the system.All%20Removal%20Runs
  22. Before deletion the Employee appeared in the listing screen. Click on “Refresh button”.Employee%20Data%20Before%20Deletion
  23. Now the Employee Data is removed.After%20Deletion

      very nice description and blog. thanks.

      what I would try to avoid is misleading word 'deletion' because according to this ; 2661796 - How to Delete Employees (sap.com) the data are not deleted at all ("Employee records are part of what the system considers master data. Once created, this sort of data cannot be deleted, as it could lead to inconsistencies.").

      The only thing which happens is status change to 'Deleted' and anonymization of data.

      I mentioning this since one of the last sentences ("I hope this blog gives the view of how to delete the Employee from C4C System." suggest that you delete the data.
