Archiving – New selection criteria
Hello all,
With the new release 2302 we added additional selection criteria to determine which instances shall be considered for Archiving.
After you have enabled an object for Archiving you can add below the original list some criteria for
- Sales Organization
- Country / Region
with their own retention period Before Archiving.
Let’s look at this example below:
The overall retention period for Opportunity is 730 days.
But in Germany in general it is 200 days, except for the sales organization MDEC42200 where it is 100 days.
Similar for the sales organization MC45000 it is 400 days except in France where we have 300 days.
You got the picture? 😉
Be aware that – of course – all instances matching these additional criteria are filtered by their own retention period and no longer be the overall one.
Also consider that a complete empty line is ignored by the framework.
And: If you have more than one line with identical criteria, the one with the shortest retention period takes it all.

Thank you for your blogs, very helpful. However, could you help me understand if we can archive attachments and files to an external file system, which is our central repository? I couldn't find much information on this and request you to shed some light.

With Archiving all attached documents are archived together with the original object.
You can not determined or change the used external storage.
For attachments itself (Archiving not involved!!!) we plan to outsource them in a near release automatically w/o any interaction required by the customer.
Again, there is no way for the customer to influence the used external storage.

I have a question ,here.
Do the objects marked for archiving, will get archived irrespective f their current status.
For eg, In case of a ticket, if it's open but the retention criteria of no. of days matches, will it get auto archived?
Hello Rahul,
As you can read in the other blog (https://blogs.sap.com/2020/12/18/archiving-what-objects-what-are-the-criteria/) the retention time defines only the candidates for Archiving.
The status is the most common denominator for the determination if this entity can really be archived.
As you can read a ticket must be closed or anonymized and all sub tickets and the main ticket must be closed.
