Higher Duty Allowance in Workflows

In a previous blog, Use cases for choosing the different types of Higher Duty or Temporary Assignment, we outlined the different responsibility types you could choose for that assignment.

The employee or manager or administrator can initiate or create the higher duty or temporary assignment process. There are standard workflows to edit, and approve the higher duty or temporary assignment requests.

Depending on the allowance computation basis selected for the Higher Duty or Temporary Assignment, the annualized reference salary and the higher duty allowance for the higher duty or temporary assignment is calculated in SAP SuccessFactors Employee Central. For information about how the annualized reference salary is calculated for a higher duty or temporary assignment, see Reference Salary Calculation for Higher Duty or Temporary Assignment Allowance.

During the process of adding a higher duty or temporary assignment, you may want to see the amount, currency, and reference salary details of the corresponding nominal assignment. You may also want to see the amount, currency, and reference salary details for the higher duty or temporary assignment. This information is made available on the Workflow Details page.

Viewing the higher duty allowance information in the Workflow Details page

When you add a higher duty or temporary assignment from the Action Center in SAP SuccessFactors Employee Central, you can specify details such as:

  • the Higher Duty/Temporary Assignment Percentage: to define the amount of responsibility performed as a higher duty or temporary assignment (and therefore the higher duty allowance).
  • The Allowance Percentage: to define the percentage of allowance that the employee is entitled to during the higher duty or temporary assignment period.
  • The Allowance Computation Basis selected must be Base Salary Only or Base Salary and Allowances for the higher duty or temporary assignment allowance to be applicable.

After you provide the details and submit the request for adding a higher duty or temporary assignment, the request enters the approval workflow.

The Manage Workflow Requests page in Admin Center displays the list of workflows you have defined. You can click the Search button and search for the workflow that you just triggered when you added the higher duty or temporary allowance.

The Workflow Details page displays the details of the higher duty or temporary assignment, such as the duration, job information, and compensation information.

  • Click the arrow next to the Compensation Information tab to see the details of the compensation for the higher duty or temporary assignment.
    • The higher duty allowance is displayed.
  • Click the arrow next to the Higher Duty or Temporary Assignment Details tab to see the details for the higher duty or temporary assignment.
    • The Nominal Amount Currency field displays the currency for the nominal reference salary.
    • The Higher Duty/Temporary Assignment Currency field displays the currency for the reference salary of the higher duty or temporary assignment.
    • The Nominal Reference Salary field displays the reference salary for the corresponding nominal assignment.
    • The Higher Duty/Temporary Assignment Reference Salary field displays the reference salary for the higher duty or temporary assignment.

On the Workflow Details page, you can click the Update button to add or update details for the nominal or higher duty assignment. After the updates are saved, the added or updated reference salaries and the allowance will be visible on the Workflow Details page.

To summarize, we saw how you can review and even edit the amount, currency, and reference salary details for a newly added higher duty or temporary assignment and the corresponding nominal assignment from the Workflow Details page.

      Hi Prasad,

      I am just looking at building a proof of concept to see if Higher Duty Assignments will meet our requirement in a public sector organisation in the UK and was pleased to see your blogs on this functionality, very helpful.

      In particular I was struggling with the fact the reference salaries were not displaying in the UI when creating the assignment, this seems strange, do you know if it is something that is still under development as the fields are there as standard?

      I will add a workflow as you describe here and see how that works for us, but I also tried to add in a couple of business rules to bring information from the Nominal User's Job Information as it will be required within the UI when someone is creating the assignment and they are not working as expected.  Do you know if this is also a current restriction within the solution?   I have tried an initialise MDF rule and an evaluate, added in the appropriate places within the Higher Duty details Object Definition, but neither have the desired effect.

      Hi Katy,

      We currently do not have any implementation planned for displaying the reference salaries on the Add Higher Duties screen  You could use the workflow details page to view this.

      Cross employment business rules are not possible for Higher Duties. So, it is not possible to copy information from the Nominal employment to the Higher Duty employment via rules.

      Hi Prasad,

       

      I have few question, hope you can answer them

      1. When Only delegation option is selected, Job information block is displayed. As I understand in case of only delegation position field will not be auto populated. Does it mean that it needs to be left blank?
        • Generally Position and other fields are mandatory and they cannot be left blank
        • Employees nominal position cannot be selected again in position fields as it is being used.
      2. Would system be able to calculate the pay difference between the regular salary and higher duty salary when only delegation is selected.
      3.  When Full responsibility option is selected; employee cannot access is nominal salary only the Higher duty profile; which stops him /her accessing absences. Is that correct behavior.

      Hi Sanjay,

      When the delegation only option is selected, the Higher Duty employment does not actually take up the Higher Duty position. That is why the position field in job information should be left blank. If you want to use this feature then you will have to make position non mandatory in the data model.

      The system will be able to calculate the Higher duty allowance for a delegation only Higher Duty. Please make sure you give the Allowance Computation Basis as Base Salary Only or Base Salary and Allowances.

      Could you please explain point number 3 in more detail?

      Is there any reference guide for setting up higher duty allowance calculation i.e. perquisite for base pay and allowance pay calculation. The reason I ask is that the nominal reference salary and higher duty reference salary section does not get auto populated. 

      Which fields in Compensation and job info are used

      Nominal Amount Currency

      This field is read-only and is derived automatically. It contains the value as maintained in the Compensation Information block stored against the nominal assignment.

      Nominal Reference Salary

      This field is read-only and is derived automatically. It contains the value valid for the employee’s regular role as maintained in the Job Information block and replicated to Employee Central Payroll.

       

      I have figured out the issue with point 3.

      The nominal reference salary and higher duty reference salary should get auto-populated once the Higher Duty is created. If you have workflows configured, then the reference salaries should be visible on the workflows details page.
