Are you wondering about the best way to distribute your SAP plant maintenance work orders?

Would you like to get your technicians the information they need to do their job?

Then, you have come to the right place! Read on to see how to distribute work orders in SAP.

SAP Plant Maintenance Work Orders: Jumping into Action

First, let’s dive in by using the plant maintenance transaction – iw32 – and searching for the specific order number.

You can also use the transaction code – iw38 – which is a mass order selection.

For this blog, we will go into a specific order:

Moving into the specific maintenance work order, we can see the details about the order:

HeaderData

The section, HeaderData, includes the personnel involved, scheduling information, and Reference Objects. Reference Objects are important because it is where the documents and specific files about the equipment's location to be serviced are located, along with documentation about the equipment itself. You can also find other links in Reference Objects that can provide additional information like document records associated with the equipment. Information is usually linked when the equipment is used on other maintenance orders or different order types.

Why are attachments included in work orders? The planning group or the maintenance planner adds attachments to work orders to include all the needed information for the maintenance work order.

Operations

Now, moving into the section, Operations, these operations are included and designed to help the maintenance technician go through the step-by-step process of maintaining the equipment.

Sometimes, like HeaderData, the Operations section might have attachments linked. There can also be GOS level services for objects. However, these attachments are like a paper clip. It allows planners to attach documents that might not be in the document management system.

Attachments provide a lot of supporting information and are very important. Therefore, when distributing work orders, planners must collect the needed attachments.

Distributing Work Orders Via SAP Print

When the time has come, and you are ready to send out your maintenance order, you can use the SAP print function. To do this, you will:

  • Click Order

  • Then, click Print

  • Choose between Order, Operation selection, and Download

Reminder: The attachments in the work order will not print here. To provide these supporting documents, you’ll need to manually identify where all the needed attachments are located and print them out with your order.

But, there’s a better way ... read on!

Distributing Work Orders Automatically Via Integration

If you would like to avoid doing this manually, you can distribute your work orders in other ways, like with SAP integrated applications. For example, SEAL Systems is an SAP silver partner and has created an application that integrates into SAP for plant maintenance. When activated, the application searches through the equipment’s functional location, operation components, services for objects and collects all those pesky attachments related to the work order.

Conclusion

Finding a work order distribution solution that fits your company is key. No matter how you distribute your plant maintenance work orders, getting the right information is crucial. Knowledge is power, and it can help keep technicians safe and maintenance running smoothly.
