All About Company Specific Help Documents in SAP Business ByDesign(BYD)

Before you go live, you as key user should prepare the Help Center content so that it meets the requirements of your end users. You can add your own documents that will appear under Company-Specific Help, such as process descriptions, golden business rules, or demos. As a key user, you can add company-specific help to the Help Center that is immediately visible and available to all end users.

Note:

  • Only Key User will have the access to Add Company Specific-Help & Add Company Specific-Help for all screens in the Help Center.
  • Key User is the one who have access to the Incidents & Business User view, assigned in the Access Rights.
  • For the users who doesn’t have the access to the Incidents & Business User view, Add Company Specific-Help & Add Company Specific-Help for all screens links will not be displayed as shown below:

Add Company Specific Help Documents(File/Link):

  1. Login to Business ByDesign system.
  2. Navigate to Help Center.
  3. You can either add content to this screen or to all screens within the system.
    • To add company-specific content to a particular screen, click Add Company-Specific Content under You Can Also.
    • To add company-specific content to all screens, click Add Company-Specific Content for all Screens under You Can Also.
  4. To add a new file, click  New and choose file.
  5. To add a new link, click New and choose Link.
    • In the URL field, enter the URL of the file or link.
    • In the Name field, enter the name as it will appear in the Help Center.
    • In the Description field, enter a description of this file or link.

Note:

  • By default, the system supports the following file types:
    1. All Microsoft Office formats.
    2. PDF
  • By default, the following file types are not supported:
    1. HTML
    2. XML
    3. EXE
  • The maximum file size is restricted to 500 MB. Due to performance reasons, we recommend not to upload files larger than 20 MB.
  • http://” is must be prefix for the links in the URL field.
  • In a particular screen you can add both file as well as online link.
  • You can add any number of files and links in the Company Specific Help section.
  • You can also extract the incident in PDF format and upload it to the Company Specific Help which can serve as future reference.

Delete Company Specific Help Documents(File/Link):

To delete Company Specific Help Document or Link, please follow the below steps:

  1. Navigate to the screen from where you would like to delete the document or link.
  2. Open the Help Center.
  3. Navigate to the respective screen.
  4. To delete the document or link which are posted for All Screen you need to click on Add Company-Specific Help for all Screens.
  5. Documents/Links which are posted in a specific screen will only be visible to that particular screen, in order remove those documents/links you need to navigate to the particular screen and click on the Add Company-Specific Help.
  6. Select the document & Click on Delete.

Rearrange Company Specific Help Documents(File/Link):

You can also rearrange the documents/links which are added under Company Specific Help, Please follow the below steps to do so:

  1. Navigate to the screen from where you would like to delete the document or lin.
  2. Open the Help Center.
  3. Navigate to the respective screen.
  4. Click on Add Company-Specific Help for all Screens OR Add Company-Specific Help.
  5. Select the File or Link which you want to Move Up/Move Down.
  6. Click on Move Up/Move Down.

      Added a link first under Add Company Specific Help and saved and later realized that the link was required for all screens, hence, deleted the link from Add Company Specific Help and tried adding it to Add Company Specific Help All Screens the system was throwing an error while saving"||A document http_www_abc.com_l already exists; must be unique"

       

      How to resolve this.

      Hello Pontie,

      This may need cleanup from the backend, could you please create incident to SAP Support, you can also mentoin my name in the incident if you want.

      I am trying to add Sharepoint links to ByDesign, but the system keeps telling me that the URLs are not valid. All of them are valid URLs and can be opened in the browser. Does anyone have an idea what I could do to solve this issue?

      I have an incident open for the problem, for reference:

      Hello Niess,

      Thank you for your feedback, we ahve received your incident and we are working on this.

      Further we did tested in our internal systems as well, could see that it is reproduceable from our end.

      I assume, it will only consider the public link where it should be accessible by everybody, since the share point could be private and this will go through the validation. Could you try adding the link from browser box, this should work.

      Give us sometime, we will get back to you with the details.

      In case this could help anyone - the solution is actually rather simple. You just have to make sure that your sharepoint links don't contain any non-HTML-standard signs, so remove anything like :w: etc.

      The link will work that way and can be integrated in ByDesign.

      Works like a charm now and makes life a lot easier for our users!

      Just a little precision to prevent users from searching, to replace the : in the URL link, you can use the following characters %3A

      For example, if the link contains the value :x: you can replace it with %3Ax%3A and it will work.
