Intelligent Mobile Expense Scanning

This blog will describe the capabilities of the new Intelligent Mobile Expense Scanning in SAP Business ByDesign which has been delivered with it’s new release 2102 under controlled availability. Managers and employees want to create new expense for a business trip and don’t want enter all receipts manually to there expense report. The new solution allows them to simply scan the receipt, which will be than converted as an expense within an expense report. This simplifies the claim of travel expense tremendously if you are frequently on business travel.

New Capabilities

  • Instead of entering an expense, a picture of a receipt will be scanned.
  • An OCR (optical character recognition) and ML (machine learning) result will be displayed on the expense window with the ability to reject.
  • Attachments of receipts will be moved automatically to expense.

 

With this we provide optimized expense report process and a simplified expense creation via mobile device.

      The 'Extract' button doesn't appear in the Mobile ByDesign app (latest version installed today on Android updated 29 July) against our 2108 test instance.

      Does anything need to be enabled in the ByDesign configuration or user permissions?

      Hi Simon,

      I just found that a business option must be enabled in

      Edit Project Scope
      Questions (section 4)
      Travel and Expenses
      Expense and Reimbursement Management
      Expense Reporting
      Business Option (that must be checked) : Do you want to enable data extraction from attachments for automatic expense creation?

      The Extract Button showed up automatically after enabling this option.

      since the receipts can now be scanned, do we still have to keep paper proofs of expenses or auditors will accept / validate digitalized receipts ?

      Does SAP somehow can guarantee that the documents are not modified when scanned ?

      Hi Nathalie, SAP has no control on individual rules and regulation of each county so there is no way for us to know if your auditors will accept / validate digitalized receipts. The scanning process involved taking a picture from your receipt, scanning that receipt and proposing the extracted content of it side by side with the picture of the receipt so the user can correct the values if anything is wrong and then save both the original picture (which obviously can't be modified) as well as the validated (user corrected) values in the system. Given this process I'm not sure I get your question: "Does SAP somehow can guarantee that the documents are not modified when scanned". Do you mean the picture taken from the receipt? Then yes, obviously the uploaded picture can't be modified by the scanner in any way.
