2020 has been an interesting year to say the least. We’ve all adapted to new ways of working – and living – and the desire to maintain some sense of balance has heightened the need for efficiency in all we do. The second half (2H) 2020 release for SAP SuccessFactors Onboarding is directly aligned to this need for efficiency, with a focus on continuing to make the onboarding experience easier, faster, and smarter for all involved.

Let’s look at a few of the 2H 2020 enhancements and the benefits they deliver to both the new hire and the supporting teams responsible for creating and managing these digital onboarding experiences:

Compliance Enhancements


 

Compliance forms for the United States: This release includes the highly anticipated pre-delivered compliance forms for the US, including Federal (W-4) and most State Withholding forms (see table of supported forms here). New hires are guided through the forms, from start to signature, with embedded worksheets and dynamic calculations based on inputs.

Like the other country-specific compliance forms already available, these new US forms can be used in conjunction with the SAP SuccessFactors platform capabilities, including Document Management, eSignature (SAP Signature Management by DocuSign or SAP SuccessFactors eSignature), and the E-mail services framework.


Onboarding: US W-4 Form

Framework to generate custom forms: A compliance framework is now available to support the addition of forms that are not included in the pre-delivered forms. Forms can added by uploading the form UI metadata and form layout metadata in the system (Note: This does require expertise in metadata driven development so it recommended that you contact your Implementation Partner for support).

Compliance forms data schema in People Analytics Story Report: To make it easier to track the status of compliance forms, a new schema for compliance has been added in People Analytics. This allows users to create a Story Report for compliance forms, using a variety of fields including Form name, Form completed on, Current status, and Due date. In addition, as People Analytics spans data across the entire SAP SuccessFactors HXM suite, this data can be combined with additional employee data such as Location, Department, Manager, etc. to quickly determine trends and identify potential areas of improvement.

Business Rule & Custom Process Enhancements


 

Custom format support for User ID and Employee ID: To better align to integration specifications and other business requirements, SAP SuccessFactors system administrators can now configure the format of the User ID and Employee ID generated during the onboarding process (note that previously the format of the ID was noneditable). This helps to ensure that specific formats and sequencing are supported for employee groups. It’s important to note that existing SAP SuccessFactors Employee Central rules can be used or new rules can be created.

Business rule support for Event Reason values: With this release, administrators can now configure the value for the Event Reason field to be automatically set in the New Hire Data Review page using business rules. This eliminates the need to create a custom field in Recruiting to enter the Event Reason value, such as New Hire or Transfer, helping to further automate the onboarding process.

Compliance block in Process Variant Manager: To further custom workflows, the Process Variant Manager has been enhanced to allow for the addition of a Compliance block after Personal Data Collection or Additional Data Collection blocks. This helps to simplify the design and resulting experiences of custom workflows by including Compliance tasks in the standard onboarding process.

Email notification attachments with business rule configuration: With the latest release, you can use email attachments to share documents with new hires and other stakeholders. Business rules can be leveraged to specify both the static and dynamic documents that should be shared as attachments. This enhancement provides both new hires and stakeholders with an easier way to access and review key documents.
