With a lot of definitions involving G/L Accounts to start working with SAP Business One, sometimes it becomes difficult to find out G/L Accounts when trying to perform the business-related tasks in application.

This G/L Account does not appear in the Choose from List of the Accounts and seem to have been never ever defined in the system, but you find the same defined in the Chart of Account window.

 

Finding the Missing G/L Account:

  1. Choose from List under Manual Journal Entry:


 

What to check:

       2. Choose from List under Statement Evidence window:

 

What to check:

 

  • Install Bank Statement Processing is enabled under Administration > System Initialization > Company Details > Basic Initialization window.


 

  • The missing G/L Account has been defined under the Administration > Setup > Banking > House Bank Accounts – Setup window.



      3. Choose from List under G/L Account Determination window:

 

  • Rounding Account – No Account in Choose from List:


 

What to check:

 

If a blank Choose from List appears or the defined G/L Account for Rounding purpose does not appear in the list from the G/L Determination window, then

 

Check for the Currency of the G/L Account defined. If it is not set as 'All Currencies'/'Multi Currency' Account, then it will not appear in the Choose from List.




  • Revenue Account – Only few Accounts in Choose from List:


 

What to check:

 

Check whether the missing G/L Account is defined as ‘Sales’ or any other Account Type. For selection as a Revenue Account, the G/L Account Type should be Sales to appear in the Choose from List.


Note: If a need to have any other G/L Account other than Account Type ‘Sales’, then user must select the checkbox ‘Allow Selection of Any Account Type for Revenue Accounts’ under Administration > System Initialization > Company Details > Basic Initialization window.


         4. Choose from List under Service Type Invoice (AP/AR)

 

What to check:

 

  • Confirm the Currency of the Business Partner for which the document is to be created.

  • Confirm the Currency of the G/L Account under the Chart of Account whether it is set as the correct required currency. (A Foreign Currency BP cannot post a service type document in another FC G/L Account. Either it should be multi-currency or BP currency)


 

        5. Specific Case: Few G/L Accounts do not appear in the Choose from List

 

There can be a specific case where the G/L Account may not appear in Choose from List when trying to create a Manual Journal Entry.

 

What to check:

 

  • Check the ‘DataSource’ of the G/L Account under OACT table.

  • Check whether the G/L Account can be searched via the OACT table from backend.

  • The issue could be white spaces or blank spaces in the Account Code defined/imported.


 

The above list is not an inclusive list and there can be instances where more scenarios could impact the display of the G/L Accounts in the Choose from List.
