Blog – Import Sales Orders(Part 1): Beginner’s Guide
Hi guys,
The blog is to show how to use the app “Import Sales Orders” to import sales orders from Excel to create sales orders, so you don’t need to input the sales orders one by one manually.
The app looks like this:
The app main page:
A simple but powerful page.
Now let’s use the app step by step.
1. Download Template
The app doesn’t support all sales order fields and has restraints in the data format. You must follow the Excel template to adjust your own excel.
“Field List”, first sheet in the Excel, shows the supported fields with their property and format. The “Required” property means the field is mandatory. Field values must conform to the format rules, like length.
“Order Data”, second sheet in the excel, is used to enter sales orders data.
Double click on row 2. You can see the detail information describing the usage of the sheet.
Some key points, just for reminder:
· Field name (technical name) row is necessary. You can’t remove it and you can map it to your own field descriptions in your own Excel.
· Keep HEADER.SALESORDER in relative leftmost position.
· One line, one sales order item. If a sales order has multiple items, keep HEADER data the same.
2. Put in Order data
I added two sales orders in the sheet “Order Data”. First order has two items. Second order has only one.
3. Upload the Excel
I uploaded the Excel using the button “Browse”. You also can drag your Excel to the blank area directly. The app checks validity of the Excel content. You need to correct it according to the error or warning messages.
As the message says, the second sales order lacks the mandatory values for field “Requested Quantity”. Let’s fix it, and then upload it again.
Now, you can see the success message:
Then click the “Import” button on the lower right corner.
4. History and Status
When you import the Excel, there is popup box that allows you to navigate to the history page directly. Of course, you can also choose View History to go to the history page and search what you want.
Now, let’s see the history data of our import.
Creation failed for the first sales order, but succeeded for the second order. The log helps you to find the failure reason. Click it.
The error comes from another system. I mean, if you use the same data to create sales order by Create Sales Orders – VA01, you will get the same error.
The second sales order was created successfully. You can click the order number “22995” to navigate to other apps to do further actions.
If any questions, feel free to contact me. I am glad to help you.
Tips:
· The first sheet “Field List”, which is used for your information, is not processed during an import.
· The optional fields in the second sheet can be removed, if you don’t use them. The recommended way to remove them is to delete the whole column directly.
which version?
i can not find in my demo environment?
It has been delivered in S/4 HANA Cloud 2005.
I assume you are not thinking of providing this app for ERP anymore ...
Great Blog - Thank you!
Is it also possible to upload sales orders with a reference (e.g. towards a contract) with this app?
Thanks!
No. It doesn't support creation with reference.
