Cost Object Export from SAP to CONCUR

CONCUR is the Travel and Expense tool integrated with SAP ERP through the ICS integration, is the tool used for posting the expenses by employees to SAP. Expense posting requires certain master data, such as Internal Order, Cost Center, to be available in CONCUR, so that those can be used during booking the expense. The source of this master data is SAP. Concur ICS integration provides mechanism to transfer the master data from SAP to CONCUR. In the below sections, we will discuss the steps provided by SAP to transfer the master data(Cost Centers and Internal Orders ) to CONCUR.

Expense posting is nothing but a vendor invoice posting, in terms of the posting in SAP. Any such posting needs cost objects, such as Cost Centers/ Internal orders , for the posting to take place. ICS integration provides option of transferring Cost Centers and Internal Orders from SAP to CONCUR.

The Transaction code  CTE_SETUP provides the option of this transfer.

 

A. Cost Center Transfer:

  1. Automatic Transfer

For the Automatic Transfer set up, below needs to be done. The “Change Export” option needs to be selected.

Then Continue with the subsequent steps as shown below.

 

 

Then the final step “Complete” , will set up the Job CTE_COST_CENTER_EXPORT in SAP. Which will keep on transferring the Cost Center Data to concur. Each time, a Delta Load(New Cost Centers or Changes to the cost centers ) will be transferred to Concur.

  1. Manual Transfer:

 

There is an option for Manual transfer as well, which can be used as below.

 

 

Here the cost centers can be transferred, with a Company code, Business Area or Cost Center Selection.

The report can be Executed in Test mode by selecting the Test Mode Option.

B. Internal Order Transfer:

  1. Automatic Transfer

For the Automatic Transfer set up, below needs to be done. The “Change Export” option needs to be selected.

Then Continue with the subsequent steps as shown below.

Then the final step “Complete” , will set up the Job CTE_INTERNAL_ORDER_EXPORT, in SAP. Which will keep on transferring the Cost Center Data to concur. Each time, a Delta Load(New Internal Orders or Changes to the existing Internal Orders) will be transferred to Concur.

  • Manual Transfer:

Here the Internal Orders can be transferred, with a Company code, Business Area or Cost Center Selection.

 

The report can be Executed in Test mode by selecting the Test Mode Option.

All the transferred Internal Orders/Cost Centers should be visible in CTE_MONI tcode. By double clicking on the respective counts, we can see the list of exported master data and also failed master data, if any.

This way, the ICS integration provides the option of the seamless  transfer of the Master data to Concur, which is essential for Expense booking.

      Hello Rudra, do you know if it's possible to change an existing Concur List (assuming that objects have already been exported)? In your 4th screenshot all fields are read-only (no possibility to delete or add a field to the list). How to add a new field?

      Hi Kinga,

      As you have righty mentioned, the add, delete options are greyed out. There is an option of adding custom fields in the same screen and  and putting logic in a badi to control those. Please try that.  I would also suggest to reach out to SAP, to find out the possibility if any, of making those greyed out fields editable.
