Manage Spaces and Pages for SAP Fiori Launchpad

In the blog post Get to Know the New Spaces Concept for SAP Fiori Launchpad we have introduced the spaces concept for SAP Fiori launchpad. Now it’s about getting to know the tools behind used by administrators.
App for Managing Pages
For maintaining a page that can be displayed in the user’s launchpad, there is the SAP Fiori app called Manage Launchpad Pages. This app completely follows the principle what you see is what you get (WYSIWYG). It allows you to structure the layout of a page via drag and drop.
You can choose tiles from a set of catalogs in the context of the business role(s) that this page has been created for.
One thing, which clearly stands out, and where we listened closely to our customers: now you have the possibility to really define the layout of the page. This means that you can arrange the tiles within and across sections and you can move whole sections around in the order that you would like to provide to your users. On top of that, the app offers several additional capabilities like adding multiple tiles at once or providing detailed information on the available tiles, which help you to work even more efficiently.

If you don’t know how to start with structuring your spaces and pages, you can use the SAP-delivered templates, which serve as a starting point. Have a look at the documentation for Working with SAP-Delivered Spaces and Pages to find out where to find and how to use them.
Enabling Spaces
Lastly, to make the spaces and pages available for your users, you need to activate spaces. For this we have introduced two new parameters: SPACES and SPACES_ENABLE_USER. Please have a look at the documentation for Enabling Spaces to find out more about the available parameters.
Availability
The spaces and pages layout and all the features around it for managing spaces and pages are available:
- With cloud products like for example SAP S/4HANA Cloud
- As of SAP S/4HANA 2020
- With SAP Launchpad service – currently spaces and pages are only available in the user’s launchpad; there are no design time tools available yet
In the meantime an app for managing spaces, called Manage Launchpad Spaces, has been released. Please have a look at the blog post Structure the SAP Fiori Launchpad Layout with Spaces to get more information.
Please note, that at some point in time, the spaces will completely replace the classic home page. So, it’s time to get started and try out spaces and pages now.

How does this relate to Cloud Foundry Portal Service?
In the current state it is only available for the FLP on ABAP. Stay tuned for availability on Cloud Foundry as well.

thank you for your clarification, but I am quite puzzled from your feedback!
My understanding of the lastest Fiori Portal roadmap was that all innovation goes to Cloud (Foundry) portals first. Did I miss something there or was there a change in that strategy?

Hi Alejandro,
I think this was probably a misunderstanding. While it is generally correct that release cycles in cloud products are shorter and therefore, many new features are available on cloud products first, this is not a general rule. In this specific case, the innovation was mainly triggered by a need for additional structuring and flexibility in SAP S/4HANA and SAP S/4HANA Cloud with their comprehensive roles containing lots of apps. That is why the new concept is first available on SAP S/4HANA Cloud. Nevertheless, we are working intensively to make it available on the launchpad running on SAP Cloud Platform as well.

Just wanted to check if such a functionality (creating/managing spaces and pages ) is available for Cloud Foundry Launchpad service now. If not , does there exist a concrete timeline for this feature implementation?

currently it is only possible to consume spaces and pages in federated content from an SAP S/4HANA system. The tools for managing and creating (local) spaces and pages on the Launchpad Service are planned to be released in Q3 this year (see SAP Launchpad service roadmap).

? Unfortunately it wasn't delivered in Q3/2021 but is on the roadmap for Q2/2022.

yes, this roadmap item refers to the capability of creating local spaces and pages. Please note that in Q2, we only plan a preview which will not be for productive use, so the roadmap item New site experience: flexible navigation with multiple pages in Q3 would rather be the right one.

Will this replace role groups? Will roles only contain catalogs then?
Are there tools to reset personlisation so the user has the predefined layout again?

Yes, this will replace the groups at a certain point in time completely. Roles will then contain catalogs and spaces instead.
Currently, there are no tools to reset the space / page personalization of a user centrally. We will discuss this option internally. Thank you very much for this comment!

Dear Sylvia Strack , thank you a lot for this useful article! My question: when the spaces are implemented and enabled for the users, is this new page layout is irrevocable for all users? Can the users still change the local layout of the pages or the order of the roles tabs shown?

We provide two different configuration options: SPACES and SPACES_ENABLE_USER
If “SPACES_ENABLE_USER” is set to “true” the end-user can switch between the classic homepage and the new spaces mode through the settings dialog. Personalization is saved for both modes independently which means the user can customize the classic homepage and each page in the spaces mode without losing any previously applied personalization. They are saved independently of each other.
Currently, it is not yet possible to change the order of spaces displayed in the MenuBar. This is something we are considering for the future. Is this what you meant with “order of the roles tabs”?

Dear Sebastian, thank you a lot for your answer. When the homepage will be deprecated by the end of 2020, the users will have spaces only which cannot be personalised on the end-user level. Is my understanding right?
And yes, I mean the order of spaces displayed in menu bar, as I imagine many users would like to put the spaces they work more frequently with as the first ones.
This UI area is of great importance as this is the entering point for the end users and any change there impacts them immediately. As SAP consultant I'm frequently faced with the customers' questions on UI changes of this kind that's why I am interested to understand them in very detail to avoid giving wrong information to the customers. Just to make it clear: by the end of this year, the home page will not yet be deprecated. In the cloud, this will happen at some time in the future, but I cannot tell the exact time yet. However, it is recommended that SAP S/4HANA Cloud customers already make themselves familiar with the new capabilities of the SAP Fiori launchpad now, in order to be ready once the home page will be deprecated.
Thanks a lot for the feedback regarding the ordering of the spaces in the menu. It is indeed currently not possible for a user to change it via personalization.

i'm busy testing launchpad Spaces in our QA environment (S/4 Hana Cloud Platform),
but running into issues where some roles dont have sap template linked to them , if i try to create my own spaces it does not pull catalogs , Note this is happening on certain roles, how do i resolve this issue.

It is correct that some business role templates do not have space templates linked to them. Only some business role templates are provided with space templates. However, if you encounter issues when creating own spaces, then please open an incident on the SAP Fiori launchpad component, so that the support team can have a closer look on it in order to know, what happens.

Regarding 1: Please have a look at Enabling Spaces (SAP Help Portal). There you will find the information what to do in order to allow or not to allow users to switch between spaces and the classic home page with the groups.
Regarding 2: We have the topic about hiding empty spaces and pages on our roadmap. This is the roadmap entry: Hide empty spaces and pages in the SAP Fiori launchpad. Until this release you might consider to structure your spaces and pages in a way that users don't run into empty spaces and pages.
