Use Change Audit Reports

Auditors often inquire about personal data changes & configuration data changes reports for audit purposes. SAP SuccessFactors offers a quick solution to extract different type of Personal data change report and configuration data change reports.

To enable this functionality, go to Manage Audit configuration -->Change Audit-->Flip the switch for Personal Data Audit & General Data Audit to “ON” --> Save.



To enable this functionality enable Role based permission &  Generic object permission – Metadata Framework (MDF) Apart from that View Change Audit Configuration", "Edit Change Audit Configuration" and "Generate Change Audit Reports" permissions should be enabled.

You can enable these permissions in admin center-->desired permission role-->permission button-->Administrator Permission -->Admin center Permission >check box --> View Read & Change Audit Configuration", "Edit Read & Change Audit Configuration" and "Generate Change Audit Reports"-->Save.



 

Once the functionality is enabled you can create the change audit Reports. To create the change audit report Go to Action Search  --> Change audit report. Following screen will appear -



A) To Create Personal data report Click on Create Personal data Report. Following screen will appear.You can create change audit report for the following --

• Person ( If Employee central is enabled)


• External Candidate ( If Recruiting management id enabled)


• Onboardee ( If Onboarding is implemented)


• External User Search (Applicable for Performance Management only)

 

Personal data change audit reports include changes to personal data records about or by a specific user. Now to extract report on Personal data changes click on Person Search.



 

1. Select the Activity – Change on Subject User or Change by User. Here I am selecting Change on Subject User.


2. Select the Person – Here I am selecting Adam k foster


3. Select the Module = Employee Central. Functional Area’s will automatically be selected.


4. Time Range – Give the time range for any three days. You can extract up to Seven days. Submit.

 

Now go to Access report tab to access the report. Following screen will appear. Now Download the report by clicking on download icon.

Similarly, you can extract Personal Data report for

• External Candidate (If Recruiting management id enabled)


• Onboardee (If On boarding is implemented)


• External User Search (Applicable for Performance Management only)

B) Configuration data changes report : Configuration data audit reports include changes to the configuration of your system. Following configuration reports can be extracted –

• RBP Role change report – This report should be used to report audit changes to RBP permission roles.


• RBP Group Change report – This report should be used to report audit changes to RBP Permission Groups.


• RBP User Role change report - This report should be used to report to RBP User role assignments


• Proxy Assignment Change Report- This report should be used to report Proxy changes


• Feature Settings Audit Report - This report should be used to report Provisioning feature changes.


• MDF Configuration Data Report - This report should be used to report MDF Configuration data changes.


• Job Scheduler Requests Report – This report should be used to report on changes made to scheduled job requests created in Job Schedule

Here I am demonstrating the example of RBP User Role change report. – to create a RBP Configuration report click on create configuration report. Following screen will appear. Select the RBP change report you want to create. Here I am selecting RBP USER ROLE CHANGE REPORT

 



Select the time range & Submit.



 

Sample Report :



C) Business Data Audit Reports : This type of reports includes changes to ither types of data such as transactional data. There are three type of reports available –

 

• User Change


• MDF Change History Data


• Employee Profile change data.

 

Here I am demonstrating the example of MDF Change history data.To Extract the report select the change by person Object type & Rime range. Here I have selected a custom object. Submit.
