Everything has a replacement. OK, maybe this is not the case with specific medications or a one-time work of art, but in general, most items can be replaced by others. For example, if my favorite printing paper of a specific brand is out of stock, I can replace it by a paper with same properties made by a different brand. If your company manages inventory for items that can replace each other, SAP Business One enables makes it easy to find on the fly the best replacement for these items. First, you to define for each item one or more alternative items to be used when the main item is not available:
For each replacement option you can enter the match factor, to indicate whether this is a 1:1 replacement (=100%) or a lower level of similarity (due to item properties, pricing, etc.). To define the main item as alternative item for the items on the list, choose the “Reverse Link” button.
Now, when creating marketing documents, and from some reason the item of the first choice is not available, focus on the “Item No.” cell and press “CTRL+TAB” keyboard keys. The “Alternative Items – Selection Criteria” window appears, showing the replacement options:
Click the line of the alternative item of your choice and click the “Choose” button. The current item in the document will be replaced by the chosen alternative item. To update the list of alternative items choose the “Item- Setup” button. Clicking the “Show Tree” button will show hierarchical structure of the alternative items.
