Welcome back to the next blog on professional services update in the 1908 release for SAP S/4HANA Cloud. As you probably already know, in the video below you can find a short summary of the three most important highlights of this release, but in this blog, you will also find more innovations than just the three highlights.

Let us get started right away with the new functionality in our advanced resource management, which is the possibility to review assignments for requests and projects using the new staffing view.



 

The new staffing view provides an overview of staffed resources for a specific resource request or for the entire project to which the request belongs. Use the staffing view to review, for each staffed resource, the utilization per month, the number of free and available hours, and the number of staffed hours.

The staffing view offers you an overview of staffed resources, including details such as utilization, free and available hours, and staffed hours per month, the option to show assignments at resource request level and at project level, and the option to trigger assignment changes.

 

Next up, is the new contract type for usage-based billing.

A project manager has the choice between multiple contract types when he is creating the billing plan. In addition to the 3 already existing contract types (fixed price, time & expense, periodic service) we are delivering a fourth contract type for usage-based billing.



This new contract type will allow to bill customers for services with a certain usage volume, for instance a number of service tickets processed in a period of time, or a number of licenses used in a period of time.

With the new contract type, the complete end-to-end process, so project planning, revenue-recognition, billing and reporting works out-of-the-box for this scenario.

 

In 1905 we introduced the overtime management functionality throughout the end-to-end process for professional services, except for the cost rates. This enhancement is part of this 1908 release.



The overhead accountant role can now maintain different cost rate for overtime (in addition to the standard cost rates for normal working hours). Whenever overtime is recorded, these hours are valuated with the specific overtime cost rates. This new functionality will improve accuracy of cost calculation.

 

Also, the new SAP Fiori app for managing service prices for customer projects.

 

This new app SAP Fiori app, called "Manage Prices - Sales" will support project managers in flexibly setting prices for their customers by managing all relevant condition records in one place.

Project management costs will be reduced by providing full insight and enabling highly automated project processing.



This new app is also connected directly with the customer project. Therefore, project managers will now be directly routed to this new service price maintenance app.

They will be able to find project-related fields, such as customer project ID, material number, WBS billing element, WBS work package, service organization, personnel number, and work item ID.

 

Next to the new app for maintaining service prices, there is another innovation from the sales side with this 1908 release. It is the Determination of the Value-Added Tax (VAT) Registration Number based on Partner Role.

In the EU, the value-added tax registration number (VAT ID) is used to uniquely identify a specific company or entity that is liable for value-added tax.

Whenever a billing document is created, the VAT ID of the billing document will be determined depending on the tax values of the different partners according to the (tax) destination country.

Overall this will be very helpful with an increased process flexibility for tax determination.

With the new SSCUI you will be able to define which partner (sold-to party, ship-to party or payer) is used to determine the value-added tax registration number and tax classification.

 

And last but not least, to the highlight of the robotic process automation use case for mass changes of project attributes.

There is a new RPA use case for the mass change of project roles that can be leveraged with SAP S/4HANA Cloud.

This will provide users with a mass change capability, which intelligently replaces for example a named person across all relevant projects automatically, using Intelligent Robotic Process Automation.



The solution provides increased efficiency and automation for a project manager to find and change relevant project attributes. One use case for which this functionality would be very useful could be if personnel is leaving the company or employees are shifting department, then a user can replace the old name with a substitute on a mass scale.
