Archiving financial documents with SAP S/4HANA Finance – do it in October
Enjoy the green while it lasts, because autumn is drawing nearer. The leaves will get richer, the colors will get brighter, and deep reds and oranges will soon saturate the luscious green. And as the leaves fall away from the trees, autumn will arrive, and then it’ll be time to start gathering those leaves before you slip and fall. When you think about it, documents also go through their seasons too. And you need to sort the old from the new and archive the ones that are less important, getting them out of your way to prevent them from cluttering up and slowing down your business.
The leaf-clutter is great! And it’s good fun to kick through them as they pile up on top of each other, but when the documents start to clutter up the memory of your systems, it’s not fun anymore. So by the time you get through summer, perhaps a cleanup will be due on your FI documents too?
And you can start with your FI documents and journal entries which are no longer accessed during normal operation. Have your system write archivable documents, including change documents to one or more archive files. They will become and remain historical yet accessible, and this will greatly improve the reduction in your memory footprint.
