In many companies, employees manage master data on retail articles using spreadsheets and e-mail. Often no clear approval chains are established. All this is affecting Article Master Data quality in a negative way. It’s time to centralize that master data maintenance across business processes.


SAP Master Data Governance, Central Governance – Process flow


With a centralized solution for master data, you only need to change one set of data rather than update multiple applications. This helps improve data consistency and accuracy and ensure delivery of the most recent information to all stakeholders.

Typically, data from various systems come directly into the SAP ERP or Fashion Management systems, e.g. from Product Design applications, product catalogs from vendors or data pools like e.g. GS1.

With master data governance in place, users can bring data first into the SAP MDG-RFM extension by Utopia to check for duplicates, data completeness and if necessary enrich article data with missing information be it logistic data, procurement data, sales data, tax data. With workflows all relevant experts can be involved to give approval on their relevant areas. Workflows can be customized on customer needs and so on to make sure the right people review the right data with proper workflows.

With the MDG-RFM homepage users have an overview of their workload and tasks. They get an overview of all change requests that they are responsible for. The system gives them the transparency of the approval status of their change request approval status. Users have a separate inbox for change requests which need to be approved by themselves in case they have approval responsibility for change requests of other users.

Users can decide which of the created change requests should be uploaded, e.g. lip sticks with 50 different colors are provided, but only 20 are relevant for upload to SAP MDG-RFM.

SAP MDG-RFM is fully integrated to S/4HANA Retail, Fashion and Vertical Business. It is leveraging existing backend business logic and integrates into backend data elements and domains.

After data enrichment with the reviews and approvals, the article master data is pushed to the downstream ERP/Retail, S/4HANA Retail, Fashion and Vertical Business or any Non-SAP systems for the creation of article master data. We use the data for procurement, logistics, sales, assortment management etc. and we push the data to the POS systems. The key is to have the accurate master data that flows through the systems. For instance, data is needed in the SAP Hybris Product Content Management system. Now with MDG, RFMx the same accurate data that flows to ERP can now flow to SAP Hybris PCM from one central source of truth. The data is now originating from one place and any updates or changes made through the same system whether it is being used in ERP for order fulfillment or article represented on the web.

You can also configure change authorization processes to keep detailed records of changes to article master data – with the why, who, and when of each change. You can restrict changes to those backed by a valid business reason and made by people with full clearance to do so. And you maintain a clear and verifiable audit trail for troubleshooting and governance.

Sophisticated functionality for detailed reports, including time-dependent and period-dependent versioning, helps you maintain data charts for multiple time periods simultaneously. For example, you can produce a report on the master data of articles used during two consecutive quarters and check what has changed. This visibility deepens your insight into how to improve merchandising to enhance the omnichannel customer experience and accelerate new product introduction.
