Background:

Recently, a large Hong Kong based Logistics’ Broker successfully implemented SAP Ariba Strategic Sourcing and Buyer, Advanced.  Aside from the heavy adoption of the technical solution driven by a rich user experience, the establishing of relevant catalogues, the creation of clear processes and a ‘saving’s driven’ metrics culture, an additional area of effort that led to such a positive outcome was the substantial focus on policy improvement across the company.

 

First Steps:

The company prepared a communication strategy which identified everyone who should be aware of the policy, including contractors/volunteers/clients etc and then delivered specific training in the content.  They even included the content for new starters during onboarding sessions.

The company also consulted SAP Ariba and we provided some real life examples of ‘best practise’ policies from our extensive library. We shared some ‘lessons learnt’ from the field and outlined what to expect for each policy area.  These example templates were reviewed by the company and utilised where appropriate to make sure the policy was comprehensive, complete and effective.

The company also nominated a key resource to establish a forum designed to receive and discuss management improvements specifically focussed on policies and procedures.  The information was collated and reviewed at quarterly and the annual senior management meetings.

 

And Finally:

Prior to the updated policy being launched, they tested how that policy and procedure was received with each key group of staff members, suppliers and 3rd parties impacted by the proposed changes.
