Report restriction based on the user view

This functionality is not supported in the standard SAP Business By Design.

As a solution work around, reports can be personalized to restrict the reports of other users

Case:

For a sales executive, the entire sales related reports can be accessible in the Bydesign system. The system should have the capability to setup configuration for the Sales executive should have restriction to view / access of other sales executive details like Lead, opportunity, sales quote, Sales order related details.

Solution:

This would be a bit hang around solution, means creation of reports will be huge in numbers. Assume we have 2 sales executives, we have to hide reports of their business Leads, Opportunity, Sales Quote, Sales Order respectively.

Step 1: Report Configuration

From Administrative Login

WoC-->Business Analytics-->Design Report-Select the report and Click New-->Report As Copy

i) Edit the Report Name Say for eg : “ Report Name – Sales Emp 1” as needed.

ii) In the Characteristics Properties –Select the Employee Responsible value Selection as “Fixed Value Selection” and Click “Set Fixed Value Selection” button.

iii) Then set the fixed value selection to respective employee. And finish the wizard.

iv) Edit the report in the web browser with the necessary  Selection and Views

Step 2: Assigning the Report

From the User Login (Eg: Sales Executive)

i) WoC: Home-->Personalize-->“This Screen” Uncheck the default / customized reports as to be restricted.

ii) In the Personalize , Add Report , add the report that we had created newly for the Sales Executive

iii) Save and Close the Personalize

iv) Uncheck the reports that visible in the WoCs access to the Users (Eg: Sales Executives) Via Personalize-->This Screen.

Step 3: Restriction to Personalize option

From the Administrative Login

Enter in to Adaption Mode, Adapt-->Company Setting - General – Check the box for Disable User Personalization Users. This will results in disappearance of “This Screen” in the “Personalize” mode for all the users.

To make reuse of this Personalize-->This Screen, the administrator have to give access for the personalization of this screen via Adaption Mode.
