Follow up Sales order from a survey in a visit

This blog should give a short overview about the feature ‘create a follow up sales order based on survey results from a visit’.

The use case is the straight forward:

A sales rep performs a product survey during a store visit. Within the survey he can specify which products should be ordered in a follow up order.


1.      Prerequisites

a.     You have to define a product survey.

b.     You have to include a question which has a follow up action of type ‘sales order’ defined.

c.      You have to define an activity plan.

d.      You have to define the routing rule.

e.      You have to create a visit.

f.       You have to fill the survey.

g.      Survey has to be submitted.

h.      Visit has to have the status completed.

2.       Create sales order

a.      The sales order which refers to the survey can ONLY be created form the visit itself.

b.      Go to the sales order tab.

c.      Create sales order via ‘new’.

d.      Open the ‘add product’ dialog from the quick activity.

e.      There you find a button ‘survey’ – here you can add the products which were specified in the survey.

small example:

In this example a simple product survey is defined with just 1 question that is asked for each product.

If the question is answered with ‘yes’ the related product should be copied into the follow up sales order.

Step 1 – Define Survey

Survey must be of type ‘product survey’.

In order to be able to make use of the follow up action feature- the question type must be ‘multiple choice (select one).

In this simple case we just ask the question whether the assigned product should be ordered or not.

Choose ‘sales order’ as follow up action, assign your question from the previous step and define for which answer the follow up action should be triggered.

Step 2:  Create activity plan & routing rule

Since these steps are standard steps in order to use surveys in a visit – no details in this blog given 🙂

Step 3:    Create sales order from in visit based on survey answers

Create a visit where the survey from step 1  can be used and finish the survey.

In our simple example we just specify for each product whether it should be ordered or not.

Then finish the survey and set the visit to complete.

Go to the tab sales order in the visit and choose ‘New’ to create a new order

In the quick activity choose ‘add product’ and in the upcoming screen choose ‘survey’

System will propose the products which were chosen in the survey to be ordered.

You can take over the products from here to the sales order.

Save & open your new sales order.

As a result you get your sales order directly from the visit based on the choices you made in the survey.

      Hi Ralf,

      Thank you for sharing this information.  I am trying to set up the same scenario but facing an error explained below.

      Survey had been determined in visit, selected the product and answered the question 'yes'.

      When I am trying to add the product to sales order, system is showing the following error.

      Thanks for the very helpful post!

      I have two questions regarding sales orders on Visit:

      1) I've executed all the steps you mentioned, but when I try to create a sales order after completing the visit, I am not able to see the ‘Survey’ button in the quick activity chooseNo Survey button in Sales Order.JPG

      2) I'm not able to see any active promotion after choosing the "Promotion" button in the quick activity choose even if I'm sure that there are some promotions active on the visited customer


      No Promotion visible in the Quick product choose for Sales Order.JPG
