scheduling the Web Intelligence report to Email

Dear All,

Here is the document which gives the step by step procedure to schedule the BO Report to specified Email address.

Business scenario:

Some of the information users wanted to have the BO WEBI Report output in excel formats in their Email inbox for further analysis the below step by step procedure is very useful to Schedule WEBI report .xls format to EMAIL.

For scheduling the Web Intelligence report to Email:

1 Configuration on Adaptive Job Server (One time activity in CMC)

1.1. Log on to CMC.

1.2. Go to Servers -> Web Intelligence Services -> Adaptive Job Server

1.3. Right click on it and select Destination

1.4. From the Drop Down box, Add Email as destination, mention the domain name, Host, port of the EMAIL server. Give the admin EMAIL address to send the mails.

1.5. Optional Step: Specify the common message; check the delivery document as attachment. Select User specific name (title/owner/ ID/EMAIL address) using place holder (Eg:%SI_NAME%.xls) as per the requirement and add .XLS/.TXT.

1.6. Uncheck the option “Add file extension”.

1.7. Save and Close the Application, Restart the adaptive job server.

  1. 2. Schedule Web Intelligence Report ( One time schedule activity)

2.1.   Log-in to BI Launch Pad

2.2.   Go report which you want to schedule. Right click on it and Click on Schedule.

2.3.   Select the format as “Microsoft Excel” in Format section.

2.4.   Now in Destinations option, select the EMAIL destination, give admin user mail id in FROM and give the TO mail id (you can give multiple mal ID’s) give the subject f mail and message, check add as attachment option and select User specific name(title/owner/ ID/EMAIL address) using place holder ( Ex:%SI_NAME%.xls) as per the requirement and add .XLS/.TXT.

2.5.   Schedule the report daily basis to automatically send the report output to specified folder location. Go to recurrence->mention daily and start time of schedule and end time (future year) and click on schedule.

2.6.   Initially status will be running and later Schedule status must be success. Now you can check the destination folder for the report.

2.7.   Go to the Inbox of given TO mail id to see the report output.

                 Finally we scheduled the WEBI report output to Email Inbox. We can schedule other type of BO Reports as well in same way.

    Thanks for your time and effort on this.

    Question: Whose credentials are needed in the screenshot for step 1.4? Is it the BO Administrator’s or the Windows user?

    I tried BO Administrator credentials and its not working for whatever reason.

  • Hello –

    We’ve just gone live with EPIC and are scheduling reports out of Web Intelligence. We created a daily scheduled job containing a crosstab (export as Excel) to be delivered via email. However, when the attachment is opened, there is a worksheet, not a crosstab.  Is it possible to schedule a crosstab?

  • We generally don’t want users emailing from the system but there is a request to limit it our company’s .org domain.  Can it be configured that way?
