Passing ‘ALL’ value into Parameters in SAP Crystal Reports

some times client will ask to see their whole data based on a selection.

I have 4 regions(APAC,EMEA,NORTH AMERICA,SOUTH AMERICA) in a Report.if select any Region from the 4 Regions that particular
Region data will pull.

Now Suppose i want to see the all regions Data when i select ‘ALL’ value from parameter(DropDown).this requirement can achieve using any of SAP BO Tools(Crystal Reports,Web Intelligence,Dashboards).

in Web Intelligebnce:in webi tool there is a default option ‘ALL’ will come if u create a Input Controls.

in dashboards:you can send a blank cell to the backend(write excel function)

in SAP CRystal Reports:we need to send * value to the backend.

i will share my steps how to do that in Crystal Reports .

Step1:Create a Parameter and select region object and select apend all Database values from the Action button


Step2:ADD manually “ALL” text before all the regions listed.

step3:go to Report->selection formulas-> will see the below formula/wp-content/uploads/2014/05/2_462258.png

step3:go to Report->selection formulas-> will see the below formula



step4:instead of this formula add the below code

if {?Region}=”ALL” then {Sheet1_.Region} like “*”


{Sheet1_.Region} = {?Region}


if you have any sub report you can do the same steps from 1 to 4 .


add the following code

if {?Pm-?Region}=”ALL” then

{subreport_.Region} like “*” else

{subreport_.Region} = {?Pm-?Region}

{?Pm-?Region} is the region parameter which we have created in main report(in step3).

Now when you seelct any value from the parameter it will effect to subreport the main report and sub report will filter the data  based on your selection.
