Employee self-SERVICE (ESS)

Employee Self-Service applications provide you with easy access to information and services for employees. This page gives you an overview of the entire offering.

1    Employee search

This service helps us to search for employees.

Employee Search in-turn provides two services:-

  1. Who’s Who
  2. Change Own Data

  1. Who’s Who: Search for employees by name and find basic information about colleagues and their position in the company.
  1. Employee Self-Serviceà Employee search à click on who’s Whoà Enter the first or last Name of the empoyee à click Search.

To maintain search employees, below mentioned steps need to be followed

This is normal mode of search simply by entering the Last Name and First name.

Here Click on Search Button.

The Following Who’s who screen will appear:

By clicking on Last Name, it will display Employee profile.

We can also start a new search here without going to the previous step.

If the employee name is not in the database, it throws the following error.

Click on “Advanced Search”.

Again it will display the result list.

By clicking on Last Name, it will display Employee profile as in normal search.

  1. Change own data: This service provides employees to maintain their Email id and phone number, room no; employees can create/maintain and modify this data.

Changing the communication data includes following steps:-

  1. Overview: – Displays existing communication data of employee.
  1. Edit: – Edit the communication data.

  1. Review and Save: – Save the data.

At every step, there is an option to go to previous step.

  1. Completed: – This is last step. At this step, you can “Restart the change own data service” or “Go to employee search homepage” or “Go to employee self-service homepage”.

2    personal information

Personal Information provides the services to Create/Change/Display information such as Bank details, Address, Family details and personal information.

The Following Personal Information Screen will appear:

Employee can follow the below mentioned path:

  1. Employee Self-Serviceà Personal Informationà Addressesà New Emergency Address

Addresses:

The user accesses the address information to display, change or create new address information for different address types (temporary, emergency etc.).

Steps to maintain Address details:

  1. Overview :

  1. Postal code/City and Country are two mandatory fields here. Employees can also specify their new permanent residence with the validity periods (valid from today or as of any future date.)

If you do not fill in all the required entry fields, it throws the following error.

  1. Review and Save :
  1. Confirmation: At the last step, you can go back to the addresses overview or personal information homepage or employee self-services homepage.
  1. Overview: Employee can edit his Mailing address.

  1. Edit: Postal code/City and Country are two mandatory fields here. Employees can also specify their new mailing address with the validity periods (valid from today or as of any future date or during any particular period.)

  1. Review and Save :

  1. Confirmation :

Employees can edit and delete their emergency address.

  1. Overview :

  1. Confirmation :

Again there is an option for the employees to edit and delete new mailing address.

Bank Information:

Employee Self-Service enables the employees to display the details of the bank which are affected directly from their wages or salary.

  1. Overview :

Family Members/Dependents:

The Family/Related Person service enables the employees at your enterprise to display and edit data about their own family members and related persons.

Following are the steps to create / change Family details:

  1. Overview:
  1. Edit : – First Name, Last Name and Date of Birth are mandatory fields.

Enter the Date of Birth.

   

   

 

If you do not fill in all required entry fields, it throws the following error.

  1. Review and Save:-

  1. Confirmation: -This is confirmation step. At this step, employee can go back to the Family Members/Dependents overview or Personal Information homepage or Employee Self-Service homepage.

2nd Part- New child

  1. Overview:

  1. Edit :

Enter the Date of Birth.

   

   

 

  1. Review and Save :

  1. Confirmation: – This is confirmation step. At this step, employee can go back to the Family Members/Dependents overview or Personal Information homepage or Employee Self-Service homepage.

Employee can click “exit” to return to Personal Information homepage.

Personal Data:

The Personal Data service enables the employees in your enterprise to display their own personal data. Any changes required can raise request to the HR Administrator about the modifications.

WORKING TIME

Employees can record working time, they can release working time data, certify their actual effort for a payroll period, change/ plan/display their existing planned/specified effort.

Click on the Working Time tab.

The following Working Time screen will appear.

Working Time in-turn provides the services:-

  1. Leave Request
    1. Leave request
    2. Quota Overview
  2. Clock in/Out corrections
  3. Time Statement
  4. 3.1 Time Statement
  5. 3.2 Time Statement for a chosen period.

To create a Leave Request:

The following Leave Request screen will appear:

Following are the steps to create / change Leave request:

  1. Display and Edit:

  

  1. Review and Send:

Fill in the required data and click Review.

  1. Completed:

To send the leave request to the next processor, choose Send. You can check the processing status of the request in the overview of leave.

At this step, you can go back to the “Request Another Absence” or “Go to Working Time homepage” or “Go to Employee self- Service”.

By clicking on “Show Overview of Leave”, the following screen will appear.

Travel Request and Expense report

Employees can raise travel request, they can create expense report once they return from the trip, certify their actual expense incurred during travel for official purpose.

Click on the Travel and Expenses tab.

The following Travel and Expenses screen will appear.

Travel and Expenses in-turn provides the services:-

  1. 1. Travel Request
  2. a. With advance
  3. b. without advance

  1. Expense Report.

  1. To create a Travel Request:

The following Travel Request screen will appear:

Following are the steps to create / change Travel request:

  1. Display and Edit:
  1. Review and Send:

Fill in the required data and click Review.

  1. Completed:

To send the travel request to the next processor, choose save and Send for approval.

  1. Smilarly Create / Change Expense report after coming back from the trip.

  1. Display and Edit the data

  1. Fill in the required data and click Review.
  1. Review and Send

  1. Save and Send for Approval

  

  1. Display Expense Form
