Here I want to describe what steps need to be done if the data of a Custom Business Object shall be uploaded.

For this task we choose the service integration via XML File Input.

At the end we will be able to upload the data even periodically.

Step 1: Create the Custom Business Object

Here is a very simple Custom BO with some fields at the Root node and a sub node with a 1 to n multiplicity.

If you want not only a simple upload (= Create) but also an update (= Modify) you should provide an Alternative Key for the Root node.

There is even a navigation association based on a relationship code (which is a custom code list data type).

Have this Custom BO active before the next step.

Step 2: Create an XML File Input Service

First choose from the context menu of the Custom BO the entry “Create Service Integration”.

Second in the upcoming window select the radio button “XML File Input” and press “Next”.

Now the fields for the basic information (e.g. receiving BO) are already filled. You may adjust only the integration name.

In the next window you can select the elements of the Custom BO which shall become part of the XML file so they can be uploaded.

As we want to do mass upload we set the flag “Mass Processing”.

Now we need to define how the Custom BO instance can be identified in case of update. For sub nodes this is done via a combination of fields.

Finally save the Service Integration and activate it.

A WebDAV folder is created which you need later to place the XML files in.

If you re-open the Service Integration you will be able to download the XSD schema definition from the “General” tab.

Step 3: Create the XML File

Use the XSD from above to create your XML files.

  • One way (for Business Objects with only a Root node) is via Excel
    • Menu Developer -> Click on Source -> Add the XSD via “XML Maps…”
    • All entries with the red star are mandatory
    • From the “MessageHeader” you need only the “CreationDateTime”
    • In my example only the “MyFamily” root node is supported
  • Another solution is to open the XSD in MS Visual Studio.
    • From 2008 SP 1 on you can generate sample code in the XML Schema Explorer
    • Make sure that you right click on the element typed the request

    • In the generated code you delete from the MessageHeader tag all entries except the CreationDateTime tag
    • In the List tag you will find all nodes and fields from your Custom BO.
      • You may add or remove some tags for additional or superflous node instances
      • You need to replace the sample data by your real data

    • The third way I know is a commercial tool named Oxygen XML Editor

Step 4: Create a File Input Run

Go to the “Application and User Management” -> “File Input”

and create a new run based on the previous created Service Integration.

Finally set it to Active (via “Actions” button),  save, and close it.

Step 5: Upload your XML File to the WebDAV Folder

Switch to the “Unprocessed Files” query and press “Add” to add your XML file to the WebDAV folder.

Upload your file with the upcoming dialog

If you need this upload to be executed periodically you can also map the WebDAV folder to you system.

Now your uploaded file is listed under the unprocessed files.

Step 6: Schedule the File Input Run

Switch to the “Active Runs” query, select your File Input Run and press the “Schedule” button.
You can schedule it to start immediately or plan it for a later start or even run it periodically.

Via the button “View Jobs” you can verify if and when the job has been executed.

Step 7: Verify the Data

An OWL will now list the uploaded instances.

    This is very good but I would recommend you to add an optional step of creating network drives with WebDAV folder as mapping on local PCs and schedule a recurring job in Cloud product so that user doesn’t even have to login into system always to input files.

      you can always upload mass data in a single xml file!

      I don´t know if I understood you correctly…

      You have to check “List Mass Processing” when creating the XML File Input…

        I have this custom BO definition as shown below.

        I have make XML file input for the same with below configuration.

        Step 1. Select BusinessObject element at Root as well as Node Level as shown below and check the checkbox for “Mass Upload” i have not select readable ID

        Step 2. I have select the radiobutton By AlternativeKey and i have select the Contract ID from the Dropdown.

        Step 3.After next and Finish it when i Save and Activate it and close the ServiceConfiguration and Open it again i can able to see the created XSD file in hyperlink when i right click pop-up comes for save that fiel.

        When i Open Excel and Open XML and fill it with data and press Export XML it give the error as below.

        I have follow the same steps mentioned under this Blog but getting error.

        Please let me know where i am wrong or any steps missing in it.

        Also I want to know how to fill the node level data means

        I have 1 Contract 0001 and have multiple product details how to fill the data into the template using XML in Excel file.

        Please help to resolve this issue.

          Hello Mithun,

          indeed I am aware of this message which is not exactly an error. The reason for this message in excel is that it cannot handle structured data with multiple nodes as it is in your BO.

          After a lot of trial and errors, I have discovered a method to solve this annoying issue.

          I am going through following steps:

          1) First of all I generate an XML Instance out of the generated XSD by using JAVA Eclipse. Just create a new folder in Eclipse and copy the generated xsd into this folder. Right-click on that xsd and generate an XML File with test data (Check: Fill elements and attributes with data, create attributes and elements with optional data).

          2) Copy and paste the generated XML File into a notepad++-document for editing and keep only the structure you need. Make two BO instances in one xml file and use this xml file as data source for Excel and NOT the original xsd-file. After storing data in the proper columns you should be able to export the data without a message.

          It is indeed irritating but if you didn´t understand my steps, just ask me!

          I can also send you a working xml file with the structure which is needed to use as a data source in ms excel!

            Hello Rufat,

            I have few questions regarding this XML file template.

            1) Can we make it xml template in Excel file and only we fill the data not other steps like open eclipse , create XML file and fill data and save into XML file. I want to make final template just fill data i don’t want to repeat the steps again and again.

            2) To upload the manually data using File-Input is there any way to automatically upload the data from specific destination?

            Kindly suggest me any standard method to do this?

              Hello Mithun,

              it´s great to hear that it worked!

              1) yes, you can create your own excel table based on the xml datasource.

              You don´t need to repeat the steps over and over again. Just edit your excel table so that you can import new data into the table. But if your BO changes (new BO elements), you´ll have either to repeat the steps or just add manually the new BO element into the xml file you used as a datasource and edit your excel table….Be aware of that!

              2) You usually upload data into the WebDav Folder of ByDesign. You can create file input runs for a specific time which can run regularly uloading data automatically. You have the possibility to edit these setting out of the frontend under “Application and User Management”. If you want to use other from a specific place, the file input is not the right technology, you´ll need to use webservices for integration of other applications!

                But can you explain me 1st case how to make its final template in form of excel and just update data into it and upload using file input method.

                  Hello Mithun,

                  sorry for my late response.

                  After exporting the xsd file and generating an xml instance out of it and importing this edited xml file to excel as datasource, you can save your excel file with this data source and make it reusable. You can always use the excel template to populate data in a batch. Only if the xml file input service url changes (if you create a new xml file input in another system), you´ll have to import the proper one or configure the url manually. But you don´t have to repeat the steps over and over again.

            I didn’t quite understand the step 2 of your proposal. What do you mean by “keep only the structure you need“? Does it mean to cut off the MessageHeader, RecipientParty, and so on? What does “Make two BO instances in one xml file ” mean, datas for two BO Instances?

            Now i did something like on the image below, but this produced an error message “cant’ export list of list” in excel.

            Could you please send me a working xml file? If yes, please send it to Lgranats@gmx.de. Thank you!

              Hello Gerhard,

              no, never cut the message Header!!

              Inside the message header you only must keep the creation date in the proper date format!! Or it won´t work properly and you´ll get error messages! You can also use other elements like messageheaderID and so on. These are optional!

              In your xml file important header information is missing. This is why it doesn´t work for you! I´ll send you a proper and working xml file, no problem!

              Step2: Editing the structure that you need: I mean that you should delete unnessary xml message header elements which are not needed for file import. There are too much information and details in the message header, e.g.

              <ReconciliationIndicator>true</ReconciliationIndicator>

                  <SenderBusinessSystemID>token</SenderBusinessSystemID>

                  <RecipientBusinessSystemID>token</RecipientBusinessSystemID>

              and business scope, phone, address and so on. I don´t think you need these details! You can delete them without consequences in the file input run.

              Doing so, you define two instances of an xsd schema. It does NOT create two BO Instances! Only this approach makes it possible to you, to use the list processing so that you can upload lots of data at the same time. If you only use one instance of the xml template file which you edited, excel recognizes it not as a list processing file and you can only copy data into one row of the excel table which is based on the xml elements. As a result, you can only upload one data input into your BO…This is not your intention, I think…

                    Hello there,

                    I know this is quite late regarding this blog, but I tried to do all the mentioned step above and I do not succeed in exporting my mapping from Excel.

                    My use case is to create Sales Orders from a XML File Input. So I want [0,n] Items for each Sales Order instance in my XML file.

                    I did all the steps mentioned in this blog by Horst and the by Rufat Gadirov.

                    Then I created an XML sample data from Eclipse. It worked.

                    I then import this XML in Notepad++ and put some data.

                    I did two Sales Order instances in the same XML file, each with 2 Item instances like:

                        <CreationDateTime>2015-03-02T22:22:22</CreationDateTime>

                      </MessageHeader>

                    <MySalesOrderUploaded>

                         <MyItem>

                         </MyItem>

                         <MyItem>

                         </MyItem>

                    I did populate this XML with sample Data. Then I save it and open it as a XML source in Excel.

                    I populate my fields in Excel, then I try to save as a .xml file but I get the same error message as Mithun Suthar that my mapping cannot be exported.

                    Some help on this matter would be greatly appreciated.

                    I just cannot find a workaround in order to be able to create Sales Orders with many Items in them from a XML File Input.

                      for me the method of Rufat worked.

                      You don’t need to input datas manually in the Notepad++; if you choose the following options in Eclipse Generate XML File, the datas will be filled by Eclpise automatically

                      What I miss in your XML is a list definition for the list of the business objects which have to be processed in one file. Are you sure that you have chosen the option “Mass processing” when you defined the XML Input in the Studio? Then you have to see the Attribute “List” in your XML.

                      This should be like this:

                          <CreationDateTime>2001-12-31T12:00:00Z</CreationDateTime>

                        </MessageHeader>

                      <List actionCode=”01″ listCompleteTransmissionIndicator=”true” reconciliationPeriodCounterValue=”0″>

                      Beside that you don’t have to define two item instances in each Sales Order instance, like you can see in my example.

                      And you also have to delete the link to the wsdl shema definition in your system. You have to delete the following attribute on the top of the xml file generated by Eclipse:

                      xsi:schemaLocation=”…..”

            I did as you mentioned but still get error. I’ve generated XML. But I’m not getting what you meant by create two BO instances. I tried using the generated XML in excel and if I try to export or save, it gives me the same error.

    I created a file upload as you indicate, but loading it properly worked out but not instantiated. Additionally not work validations event “Validation-OnSave” from business object .. This is an internal error of my tenant? the load file must go through the validation of the object?

        for your information: XML File Input doesn´t work in ByDesign since march, tested both in our tenant and in other ones (from our business partner).

        We created an incident in march and still didn´t get a working solution. So this could stand in a relation with occuring issues somehow . SAP Cloud Support told us that they already updated the ABAP kernel but unfortunately, same issues exist. After file input runs, no error messages appear but no data is instantiated. We still don´t know how to proceed…

          Hello Rufat,

          Is the issue solved by SAP? We are facing a problem that instances are not created.

          We have created a xml file input for a custom BO in our solution. The PID was activated and we have created an xml from the xsd schema and removed the sub fields in header except the ‘CreationDateandtime’ and provided data into the fields. We then uploaded the xml in the unprocessed file in File Input Run in Application and User Management WoC. We scheduled the process to start immediately and job shows finished successfully with the following error messages.

          Error An error occurred when deserializing in the simple transformation program /1SAI/SASDBC5F6FBAA5266D9993E while converting XML to data type for document AAA.xml

          Error The value 2012-12-13T12:12:12 is not a valid date with time. It does not correspond to the XML format for ABAP. while converting XML to data type for document AAA.xml

          We have put a breakpoint in our code ‘Before Save’ event and it doesnot even hit that point.

          Kindly suggest how to solve this issue.

            I could make this work by correcting the data, however the creation/mass creation works only with an xml file. I have imported the xml file into an excel and tried with the excel file, But I get the following error:

            Error System expected the element ‘{http://0000031533-one-off.sap.com/YAAAAAAA}BBBBBBInputInputRequest’ while converting XML to data type for document Book3.xlsx

            Could you suggest how to resolve this issue?

              Hi Sangeeta,

              Xml file Input works only for xml files, not for excel files!

              Please export the xml out of excel which you use to fill the xml and upload it to the system.

              I assume that you already used the correct creation date time with the zone letter Z at the end.

              Xml File Input works for Bydesign now again, also in C4C but it is still buggy and very sensible. You really need to be careful when trying to fill the excel file. The best way is to work step by step, it means that you should create single instances with one or two data elements and then proceed with further data.

                I am unable to form the excel file from which to export out the xml. I could directly form the xml from the schema document. I imported the schema into a blank excel file, but it does not work out. Could you let me know how to form the excel, as this is what our customer wants to edit.

                  Hi Sangeeta,

                  please be aware of the fact that Excel can only export flat data structure. This means that if you have created nodes in your business object, you cannot export those. You have to create xml file input for the nodes separately!

                  A very good tutorial about forming the excel file out of xsd is this here from Judson:

                  This helped me a lot some years ago! Just drag the list from the xsd to excel after dragging the creation Date Time and filling it with datetime in the proper format. This is very important!

                      You have to create a Processor BO with flat structure. Then you write some snippet on BeforeSave to handle the creation of instances of your target BO. Finally, create XML File Input based on your Processor BO.

                      you don´t need two XML files. As Fernando already wrote: Just create one flat ImportBO which contains every field of every node of the original BO.

                      In the Before Save Event, implement the checks in which you define when to create new data and when to update existing data.

    I have a quick question: is there any alternative way to upload the XML Input file in C4C (via a WebDav client for instance)? I can understand it could bring additional security issues, but we would like to figure out if it is possible.

      As long as your webDAV client is pointing to the C4C tenant webDAV folder, it is not a problem.

      I have been mapping webDAV folders all around and except the issue of Windows not remembering the user/password combination, all is going well.

    Hi Horst,

    I followed the same steps as you did. (I used Eclipse to generate the XML)
    When I add N_Item in the xml, the File Input Run runs successfully, but no data is created.

    When I remove the N_Item from the payload, an instace for the Root is created successfully.

    Edit : I changed the multiplicity of node N_Item from [0,n] to [1,n] and it is working fine. Thanks.

    We followed your post for a Bydesign Development but without success. We want to upload XML data to a BO with a root node only with some fields but also a TextCollection node ( allows more than 255 characters) but we didn’t succed.

    Do you know a way to implement it? Or another solution to upload fields that has more than 255 characters through XML File input?

      Hello Dídac,

      I doubt that you can upload a TextCollection because you do not know the details (nodes, elements) of this Dependent Object.

      There are some GDTs which are longer than 255, but they are all limited:

      Hi,

      You can create a custom ODATA service on your BO, and specific this as Workbench relevant.

      Then, upload the data using Data Workbench.
