REX 3.0:Sending alert messages to Sales Rep
Introduction
Message broadcasting provides the ability to admin of creating messages and broadcasting them to the selected SRs. The scope of this document is to explain the process of using the standard alert report to broadcast the alert messages to the Sales Rep on REX 3.0.
Message Set Up and Execution
For message broadcasting, the admin or sales manager can use the standard report program to create the required message and select the recipients.
Below is the process flow diagram for message set up and execution
Step 1: Enter T CODE SA 38 to navigate to the program execution screen.
Step 2: Enter the alert report title “/MAC/RSFM_ALERT_GEN” in the program and execute.
Step 3: On execution of the report , the input screen will be shown ,to input the message to be broadcast and to select the recipients of the message.

Sales organization , Distribution channel and Division which forms a sales area are mandatory.
Initial report program screen : Selecting the Sales Rep
The following section explain the selection of sales rep in different business scenarios :
Scenario 1: Alert message to be sent to all the sales rep in a sales area:
When alerts are to be send to all the sales rep in a sales area an admin has to only give the sales organization , distribution channel and division as input.
Example: If admin wants to send the alerts to all the sales rep in the sales area having sales organization as “O 50000076” + Distribution Channel as “21” + Division as “30”. The admin can select the respective values for Sales organization, Distribution Channel and Division.
Sales Area = Sales Organization + Distribution Channel + Division.
On execution of report program the alert messages will be received by all the sales rep belonging to the selected sales area.
Selection of all the sales rep in a sales area
Scenario 2: Alert message to be sent to selected recipient in a sales area:
In the business scenario when the alerts need to be send to selected sales rep in a sales area the following filters can be used as a standalone or in combination :
Note :The selection of sales rep is an AND Function between the Sales Area and other filters.
- 1> Determination Via Customers : The following set of filters are provided which can be used as a standalone or with combination of other filters to select the sales rep from the sales area
- Customer : Admin can select the sales rep based upon the customers they service to. Admin can either select a single customer or a set of customers .Sales rep which will be responsible for the customer/s will get the alert message.
Example :.In the below screen shot , within the selected sales area , admin wants to send the message to the sales rep servicing the customer “458502”.Admin provides the input for customer as “458502” and execute the report.Only the sales rep responsible for customer no “458502” will receive the alert message.
Selection of sales rep based on Sales Areas AND Customer
If admins want to select multiple sales rep based on customer admin can select multiple customers.
- Territory ID : Admin can select the recipients of alert message based on territory ID belonging to the selected sales area. Admin can either provide a single territory ID or a group of territory ID.All the sales rep responsible for the customers in the provided territory or the group of territory will receive the message.
Example : After selecting the sales area admin has selected the territory ID as “9100”.On execution of the report program all the sales rep responsible for the customers belonging to the territory ID “9100” will receive the alert message.
Multiple territories can also be selected which will result in the alert messages being sent to all the sales rep responsible for the customers belonging to the territories selected.
Selection of sales rep based on Sales Areas AND territory (ID)
- Customer Hierarchy Tree: Admin can select the recipients of alert message based on customer hierarchy level belonging to the selected sales area. Admin can either provide a single hierarchy level or multiple.All the sales rep responsible for the customers in the selected hierarchy level or multiple hierarchy level will receive the message.
Example : After selecting the sales area admin has selected the hierarchy level as “R3-CRM-01”.On execution of the report program all the sales rep responsible for the customers belonging to the hierarchy level “R3-CRM-01” will receive the alert message.
Multiple hierarchy level can also be selected which will result in the alert messages being sent to all the sales rep responsible for the customers belonging to the hierarchy levels selected.
- Target Group: Admin can select the recipients of alert message based on customer target group belonging to the selected sales area. Admin can either provide a single target group or multiple.All the sales rep responsible for the customers in the selected target group or the multiple target group will receive the message.
Example : After selecting the sales area admin has selected the target group of customers as “TG A”.On execution of the report program all the sales rep responsible for the customers belonging to the target group “TG A” will receive the alert message.
Multiple target group can also be selected which will result in the alert messages being sent to all the sales rep responsible for the customers belonging to the target groups selected.
Selection of sales rep based on Sales Areas AND Target Group
- 2> Direct Recipient Selection : Admin can select the sales rep directly with in the selected sales area by providing the user name, The search screen will provide the “ first name ” and “last name” of the employee to ease in the selection.
Example : Admin wants to send the alert message to the sales rep with name “Singhal_a” under the selected sales area. Admin can search the sales rep through the search screen.

Step 4 : Execute the report after entering the input.

Step 5: Before executing the template the template can be saved by clicking on the save button and then entering the variant name and description.
The saved template can be selected by clicking on “ Get Variant “ icon and selecting the respective variant.

Thank for yr post, it very explanatory.
Currently our version of the report has also valid from - to time too.
May I ask,
1) validity from date/time: if the alert will be sent only after the system date / time is >= with the valid from date / time of the alert's value?
2) validity to date / time: will the alert remain in the REX app. till the TO date and time ? and after that date it will be removed?
3) if the user does not open the REX app and /or does not read the alert and the validity TO date / time passes, will the alert be removed?
