Component Extension 4.0 for SAP EHS Management

Component extension 4.0 for SAP Environment, Health, and Safety Management (SAP EHS Management) is an add-on to SAP ERP and supports your organization in managing business processes related to environment, health, and safety. Component extension 4.0 provides comprehensive functionalities to support you in managing incidents, managing data for chemicals for health and safety processes, assessing risk, and complying with product compliance requirements.

This component extension features integration points with other SAP components throughout the solution and a foundation layer that connects the processes of SAP EHS Management to the SAP Business Workflow engine. Furthermore, it supports your work with a variety of analysis methods to enable visibility of your data.

Foundation (Enhanced)

Use

As of component extension 4.0 for SAP Environment, Health, and Safety Management (SAP EHS Management), the foundation application is enhanced and includes the following new and changed features:

Processing of actions (changed)

The processing of an action (task) in Work Overview is improved and now you can enter comments, attach files, or enter a reason if you reject the implementation of the task. If you reject the implementation of an action, the responsible person can change the implementor and the due date.

Dynamic creation of statements (new)

Normally, when you enter a text for an object in the application, the text is stored as master data and is only available for the object you entered the text in. To make data entry for chemicals more user-friendly, most fields for textual information are enabled for the so called dynamic creation of statements. When you enter text in such a field, the text is stored in the value help of the field and is available, when you enter data in this field for another chemical.

Location (changed)

Locations are now enhanced and comprise new fields that facilitate the integration of storage units in warehouse management and inventory management.

You can enter person responsible and their roles at a location. Based on the roles, the system identifies persons that perform special tasks in health and safety processes.

You can upload documents to a location. If you store, for example, CSV files with quantity information, the data will be extracted to a SAP NetWeaver Business Warehouse system and can be used for reporting purposes.

You can add default controls at a location. The default controls are used in risk treatment and risk management.

Effects on Customizing

You make the Customizing settings for the enhanced functions in task management and the new function for the dynamic creation of statements in Customizing for Foundation for EHS Management.

The Customizing structure of Foundation for EHS Management is changed: The substructures Locations and Actions and Controls are now moved in the Incident Management and Risk Assessment Customizing structures. Therefore, you make the settings for the enhanced functions for the location in the Customizing for Incident Management and Risk Assessment under Master Data Configuration.

Incident Management (Enhanced)

Use

As of component extension 4.0 for SAP Environment, Health, and Safety Management (SAP EHS Management), the incident management application is enhanced to handle additional location data, such as automatic population of a location address, synchronization of the address data of a particular revision and the incident reporting date, and added object based navigation.

The enhanced incident management application includes the following enhanced features:

Improved incident location data (Enhanced)

If you did not specify the address where the incident occurred, the incident management application automatically pulls the address of the location that you entered during the incident reporting. Moreover, the application uses the incident occurrence date to pull data from the corresponding location revision.

Object based navigation (Enhanced)

Incident management features enhancements of the object based navigation (OBN) that enable you to display details of assets, such as properties, equipment, vehicles in the Assets tab, materials in the Release tab, or functional locations, materials, and equipment in all Tasks tabs of a reported incident.

Effects on Data Transfer

Effects on Customizing

You make the Customizing settings for incident management in Customizing for SAP EHS Management. Note that before performing the Customizing activities under Incident Management, you must first process Customizing for Foundation for EHS Management.

Management of Chemicals for Health and Safety Processes (New)

Use

As of component extension 4.0 for SAP Environment, Health, and Safety Management (SAP EHS Management), the risk assessment application is enhanced to support you in managing chemical data for your health and safety processes.

When you work with chemicals, your organization is subject to regulatory requirements that govern the use of chemicals and the exposure to your workers. SAP EHS Management enables you to manage chemical data, ensure regulatory compliance, and protect the health and safety of workers that use chemicals.

You can request chemicals and approve them prior to their use in your company. You can enter relevant information for chemicals and use it to assess risk for chemicals. Additionally, you can create documents, such as safety instructions, that are used to inform employees about all health, safety, and personal protection relevant aspects of the chemicals they use.

The management of chemicals for health and safety processes includes the following new and changed features:

Chemical approval request (new)

If you want to use the approval process, you have to request a chemical approval before you can use a chemical within your company.

Chemical approval process (new)

The request for a chemical is sent to the person responsible for the assessment of hazardous chemicals that starts the approval process to determine whether a chemical can be used in your company. The approval process can be configured to involve several parties and you can specify several steps to be executed by each approver.

Data entry for chemicals (new)

During the approval process, you can enter information provided on safety data sheets. You can trigger the data entry for chemicals from the approval process or create a chemical manually and enter the relevant information.

Data transfer from the specification database (changed)

If you author safety data sheets for your own chemical products by using the specification database of SAP EHS Management as part of SAP ERP, you can transfer health and safety relevant data from the specification database into business objects of the component extension for SAP EHS Management add-on. Note that by using this transfer mechanism, data is entered in the SAP ERP EHS system. The SAP EHS Management add-on is the receiving system, where you do not change any transferred data.

Search function (new)

You can use a quick search function to get an overview of available information about a chemical used in your company. You can access safety data sheets, as well as safety instruction documents, that have been created for the chemical. In addition, you can request a chemical approval for a chemical from the search results.

Risk Assessment (Enhanced)

Use

As of component extension 4.0 for SAP Environment, Health, and Safety Management (SAP EHS Management), the risk assessment application is enhanced and includes the following new and changed features:

Monitor risks (new)

The application is enhanced to support risk monitoring and review with question-based control inspections and enhanced control effectiveness evaluation. You can schedule control inspections and, for ineffective controls, the system can automatically start follow-up processes.

Identify risks (changed)

For agents of the Chemical hazard category, you can add a chemical with a method of use. The applicable hazards can be determined by the system depending on the hazard classification of the chemical. If you want to add a new chemical that was not yet approved, you can request the chemical approval during the risk identification process.

Review amounts (changed)

Agents of the Chemical hazard category can contain hazardous ingredients. If you enter a chemical as an agent in a risk assessment, all hazardous ingredients with control workplace parameters are displayed in the Review Amounts steps. The agent itself, however, is not displayed. You can request and monitor amounts for the ingredients.

Determine risks (changed)

If you use an agent of the Chemical hazard category that contains hazardous ingredients with control workplace parameters, you can compare amounts to occupational exposure limits for all these ingredients. The system determines the applicable OELs of released regulatory list revisions based on the regulatory list assignment to country and region of the risk location, the value type, and the amount category. The system also assigns the identified OELs to the amounts for comparison in the exposure analysis.

Review/edit/define controls (changed)

You can add safety instructions as controls to locations to mitigate the risk.

Add default controls (new)

You can add default controls and assign them to a location. The default controls are used in risk treatment and risk management.

Control master data (changed)

You can link controls to an Adobedocument service template. This information is necessary to generate safety instructions. You can add questions to controls, which is necessary for question-based control inspections.

O-Data Service to enable mobile inspections (new)

You can use an O-Data Service to build your own mobile application for control inspections.

Effects on Customizing

You make the Customizing settings for risk assessment in Customizing for SAP EHS Management. Note that before performing the Customizing activities under Risk Assessment, you must first process Customizing for Foundation for EHS Management.

To better reflect how the risk assessment lifecycle is currently supported, new and existing Customizing activities were reorganized in Customizing for SAP EHS Management under Risk Assessment.

The following changes are made in the Customizing structure:

Nodes Risk Treatment and Risk Monitoring and Review:

Existing activities for health surveillance protocols are now located under Risk Treatment.

Existing activities for control effectiveness evaluation and new activities for control inspections are located under Risk Monitoring and Review.

Node Master Data Configuration:

The whole substructure for Locations is now located under Master Data Configuration.

The whole substructure for Actions and Controls is now located under Master Data Configuration.
