Hi there,

 

In this post, I am going to tell about the Notifications Importance in Scheduling, and how to implement notification changes in scheduling.

 

In Business objects, as a developer /Consultant/Admin we would love to automate the things. But how do we Keep an eye on automated things like scheduling say monthly running reports, monthly batch jobs or monthly Publication Files whether are they ran successfully or failed.

I can classify Notifications present in business objects into two Types based on where actually notification Alert had been sent to.

   

  • Audit Notifications
  • Email Notifications

 

AUDIT NOTIFICATIONS:  This are the one type of Notification where a Job Scheduling status information been written to Audit Database that you have configured while setting up the Business Objects. You can choose to have a notification sent to the auditing database when the job runs successfully or when it fails to run, or both.

Let see how actually these Audit notification looks like and works.

First navigate to any report object that you are trying to schedule.

>>   Do a right click on the object and select schedule like below.

>>  After doing so, the followed screen will occurs .

Now you are able to see two options as mentioned above.

>> Do a check on Audit Notification so that it will come up with two options to be written to auditdatabse likes sucess,failure or both of the scheduled one’s as below.

EMAIL NOTIFICATIONS:  This are the second type of Notification where a Job Scheduling status information shall have been sent to the user (Developer/Admin/End User) through email.

>>  Do a Check Email Notification Icon and you are able to see two records one with success and other with Failure.

Check the box “ A job has been run successfully “ and select the radio button as highlighted below to enter mailing details.

>>  Check the box “ A job has failed to run “ and select  the radio button as highlighted below to enter mailing details.

Along with this if you want to attach the instance output let say pdf output.then do click on ” Formats and Destination ” on the Left side and select the Adobe

Acrobat and select the check box ” Email Recipients “.

That’s it .Click on the schedule button on the Right below corner.Then once the schedule completed it’s output status will be mailed the to the users .

    Hi Shiva,

    Thanks for the post. It was very useful.

    My client would like to receive notification only when report fetches no data or partial data when we schedule and they should receive failure email. This is the scenario.

    I followed the same procedure which you posted but i am not successful so far. I have selected the following options

    In Audit Notification: A job has failed to run

    In Email Notification: A job has failed to run

    Please help me.

      Hi Sandeep,

      Imagine a Point-Of-Sales has a holiday for a specific day and has no data for that holiday.

      When you run the report for that day, it will show no data – though it isn’t a failure.  This is why there is no option to meet requirement for no data notifications.

      Likewise – there are N number of reasons why data could show partial or no data at all considering the business requirement at the database level – the report level – business level and capturing that logic is very complex.

    Hi Siva

    We just implemented SP6 and Patch 2 for SP6 on BO XI 4.1 and there seem to have been made a change to the way notifications Work. We used to be able to send notification on success just showing the location of the file in a destination where only limited people have access. Now a copy of the report is also attached to the notification and I cannot seem to get it not to attach the report to the notification. Have you seen this problem before?

    Is it like this options are available only in CMC and not in BI Launchpad. How do we Enable “Notification”options as part of Schedule for users in BI Launchpad.

    Hi Siva,

    I have setup notifications in CMC for a publication , it should be delivered to total of 4 users if the report is success but unfortunately its being delivered to only 3 users , is there a limit on number of users to be added ?

    Thank you for your document.

    Publication working fine and every weekend users are getting report.
    But user want to know the status of publication, so i used notification option and completed task, But we are not getting notification mails from BO.

    Can you please share your suggestion on this issue.

    Note: Publication working fine even after setup the notification.

      Which version of BO you have? Is the publication, notification and schedule of publication is created by same user or different user? Did you create the publication first and made the changes to the publication to enable notification. There is some kind of bug if you don’t follow above sequences.

               BO version is 4.1 SP6.2,

        Is the publication, notification and schedule of publication is created by same user or different user?

                yes, same user.

        Did you create the publication first and made the changes to the publication to enable notification?

           Yes.

      Hi Balaji,

      I had similar issue all you need to do is ” create a new publication” it won`t work if you add the email id`s to existing publication you need to pause your old publication and create a new publication and remember SAP will not allow you to use the same name so add a . after the original name and mirror the old publication and add email id`s to notifications.

      note: you may need to try doing this in lower environments first.
