SAP Training and Event Management – Correspondence Node

The “Correspondence” node appears in the IMG Config as below:

Training and Event Management ->Day-to-Day Activities->Correspondence.

You can specify (down to user level if required) what form (or
template) is to be used for what activity in Training and Event Management. In
addition, you can specify whether output is to be triggered manually or
automatically, and what output medium that is to be used.

There are a number of standard variables available to assist you when
creating forms. These variables can be incorporated into your texts.

Moreover, you can adjust name formats to suit country-specific
requirements.

There are two possible ways to make the required settings:

    1. You can use a Wizard which guides you through the configuration step by
    step.

    2. In the following single steps, you can make settings for ‘notification
    abbreviations’, ‘output control’, and ‘form layout’.

For example, you require to set up a correspondence such that when a Training Administrator books an employee for a course and e-mail correspondence is shot out to the employee as well as supervisor. The configuration is to be done as below:

Step 1: Correspondence ->Notification Abbreviations ->Assign Notification Abbreviations and Activities

Here you will find an existing notification and triggering activity set up only for an employee:

Click “Copy”  and modify entries as below:

BOKP Book for Planned Business Event BUCHSUP Registration, to supervisor

This will help enable to trigger a notification for a supervisor.

Step 2: Correspondence ->Notification Abbreviations ->Output Control->Specify User-Specific Output Control Options

Since I want an email notification to be sent out,I will use the Internet Mail Option.

* BUCH Registration, confirm provisionally I Internet Mail HR_ALL_BUCH

* BUCHSUP Registration, to supervisor I Internet Mail HR_ALL_BUCHSUPER

HR_ALL_BUCHSUPER and HR_ALL_BUCH are scripts for the notification.These can be modified by creating a copy and making modification to the standard layout.

Step 3: Correspondence ->Notification Abbreviations ->Output Control->Define Output Control Options Based on Attendee Type

Maintain the type of employees the notification will be sent out to.

Now try booking an employee to a course from PSV1 and then go to SOST and check if two emails have been sent.
