Automation of failed process chain e-mail notification – Selective chains

Requirement

Automated notification needs to send the list of “failed” status process chains to the required     e-mail IDs.

Automatic Notification

Automatic notification is used to send the list of “failed” status process chains to the required    e-mail IDs. This is very useful for monitoring the process chain. In case of failure, mail will be sent to the support team and necessary action can be taken immediately.

This automation will reduce the manual intervention for monitoring.

Settings

There are 3 set of settings needs to be done in BW system (One time settings).

1)    Recipient list creation

2)    E-mail id assignment to SAP User ID (If not done before).

3)    Alert settings for selected process chain failure.

Setting 1: Recipient list creation

Goto T-code: ALRTCATDEF

Double click on classification “Process chains”.

Click on Display/Change button.

Double click on “error in a process of a process chain”.

Click on “fixed recipients”.

We will get the screen like this below.

Click on New entries.

Enter SAP Login ID’s to whom the notification needs to go.

Click on Save.

Change to Display mode.

Setting 2: E-mail id assignment to SAP User ID (If not done before)

This setting is used to maintain e-mail id for the recipients maintained in Setting 1.

Note

This setting need not required if e-mail assignments to user ID already exist.

Goto T-code: SU01

Enter SAP Login ID and click on edit mode.

Click on “Other communication”.

Select E-Mail and click on “Continue”.

Enter E-mail ID for that particular User ID. Click on “Continue”.

Click on Save.

Click on “Back”.

The same process needs to be followed for all the user IDs.

Settings 3: Alert settings for selected process chain failure

Note

In this, settings needs to be done only for the process chains for which the failure alert notification needs to be sent.

Goto T-code: RSPC

Open the process chain in edit mode.

In Menu bar: Goto Process chain -> Attributes -> Alerting.

Check “send alerts if errors occur” and click on “Continue”.

Save, Check and Activate the process chain.

Note

Setting 3 needs to be repeated for all the process chains for which failure notification needs to be sent. So, Whenever chain fails, all recipients in the list will get the email alert.

      Dear Karthik,

      This is nice document and i have some doubts on this.

      is there is diffference between this document and Messages while creating process chains.

      Hi Jagan,

      Yes. there is difference.

      The messages that we create in process steps will send notification only if that process step gets complete. Also it will not send failure notification if the chains fails before that process step.

      But,the configurations mentioned in this document will send notification if the process chain fails at any process step. We don't need to create any messages in process chain.

      Hi Karthik

      From this it looks like this is for sending emails to a select group of recipients for all or selected chains. Is there a way for specifying which recipients get emails depending on certain process chains? For example if Process Chain 1 errors send email to only recipient A, if Process Chain 2 errors then send email to only recipient B.

      No. In this design, it is not possible for chain specific mail recipients. It is for generic for all process chains.

      I followed your doc, do we need to maintain any other settings in SCOT tcode, because I didn't get an email when process chain got failed.

      Hi Ankush,

      I assume you've followed all the steps correctly, as you're saying you've not received mail its due to connection(internet/protocol) problem try to reach out your basis team i think there might be some settings are not maintained properly in the system.


      once they do all the necessary settings you start receive alerts 🙂

      i have once question..

      if the process chains fails at any point(process type), email notification would be generatd or only for some process type??

      if you set up email notifications for all process steps with  failure option then only it will send email alerts other it won't.

      its totaly depend on your settings only.

      I had a small doubt. When I go the ALRTCATDEF t-code, I am unable to see the "Process Chains" classification. Could someone please help me out?

      The current BW version is BW 7.0 EHP 1.

      Any help is highly appreciated.

      For message alerts configured in a pc step, its working, but its a too much of task to configure for each n every step for 100"s of pc's
