The By/For option for the Mail Owner and Mail Preparer is a feature available in Presort. The same feature has been made available in Business Edition. However, the implementation differs slightly, but still provides the same results as does the Presort product. The following article aims to guide a user on the way the feature can and should be used in Postalsoft  Business Edition.

The By/For option provides the following 3 choices:

MIDMailer ID

CRIDCustomer Reference ID

BOTHBoth the MID and CRID

The default for both the Mail Owner and Mail Preparer is MID.

 

The 4 main components required for the By/For options to output results are:

The reason the components listed above are spread across multiple steps/screens in the Presort wizard is that they are required at different stages of Presorting, and the information is passed to the Presorting logic component based on which step the data is entered in.

The Mailer ID of Mail Preparer is used when performing a Mail.dat operation, is output on the .CSM Mail.dat file.

 

Some important notes:

On the Intelligent Mail®information screen of the Presort Wizard in Business Edition, there are 2 input controls:

  1. Mailer ID of Mail Owner – This is a dropdown combo-box, as there can be multiple mail owners for whom the mail is being prepared. The Mailer ID of Mail Owner cannot be left blank, some value must be entered. 
  2. Mailer ID of Mail Preparer – This is a simple numerical text box, where the value can be entered afresh (if needed) every single time. Typically, users who work on Business Edition belong to enterprises that prepare mail for other clients. In this case the Mailer ID of Mail Preparer stays the same, while only the Mailer ID of Mail Owner changes for each job.  
 

 

On the other hand, the Mail Owner and Mail Preparer might be the same entity. In that case, the Mailer ID of Mail Preparer can be left blank, and the software assumes that the mail owner and mail preparer is the same, resulting in the Mailer ID of Mail Owner being used for both mail owner and mail preparer.

 

When the By/Foroption is used, the results depend on the choices selected by the user.

There are 2 files in the set of Mail.dat files that contain the output of the By/For selection – the .MPA file and the .CPT file.

For either Mail Owner or Mail Prepare By/For, the following options can be selected:

MID - This option denotes that only the Mailer ID (of Mail Owner or Mail Preparer) must appear in the appropriate files in the set of Mail.dat files.

CRID - This option denotes that only the Customer Reference ID (of Mail Owner or Mail Preparer) must appear in the appropriate files in the set of Mail.dat files. 

BOTH – This option denotes that both the Mailer ID and Customer Reference ID (of Mail Owner or Mail Preparer) must appear in the appropriate files in the set of Mail.dat files.

Note: The actual By/For option needs to be selected afresh for each instance of running a job, as the default is always set to MID, for both Mail Owner and Mail Preparer.

When any option is chosen, the software first checks that the value for that choice has already been input in the job being processed. If some value is missing, and the user chooses to output that particular value in the Mail.dat files, the software shows an error message informing the user what value is missing and on which screen in the Presort wizard that value must be entered.

For example, if the Mail Owner By/For option selected is BOTH, but the CRID of Mail Owner has not been filled in on the Mailing Information screen on the Presort Wizard, the software will show the following error message:
