Although consistent data entry is the best when creating a data file, we all know from time to time that data can be inconsistently entered into a data field.  End result, mixed information with in a data field.

Postalsoft Business Edition has a very nice feature called Enhanced Import, which is designed to help you import data from files that may not have data consistently entered into one field, or can help you split your information from one field into several fields.  In order to use the Enhanced Import process you must add 4 field kinds into your database layout: Import Error, Import Extra 1, Import Extra 2 and Import Extra3. To do this go to File > Properties > Database. Click on Multiple Fields. Select the group titled Enhanced Import. The Import Extra 1 through Extra 3 are fields designed to hold any data from the import fields that have unidentifiable data after being imported. When a field has any unidentifiable data in it, the complete original field information will be put in the EXTRA fields. This will help you manually fix the problem if you should encounter any. When you are ready to import go to File > Import. Select your import file. On the Import File Format screen check the check box ‘Override import mapping for naming and address data in wrong fields’. Click Next. On the Associate Imported Fields screen map your input fields to the corresponding destination fields. Click Finish.  Below is a complete list of the field kinds that the program can intelligently identify.

Company name
Street address line 1
Street address line 2
City
State abbreviation
ZIP/ZIP+4 (98765-4321)
ZIP/ZIP+4 no dash (987654321)
ZIP 5-digit part only
ZIP 4-digit add-on part

Below is a complete list of the “Split fields” or “Merged fields” that can be identified when they are mapped by the import fields.

Name (to be parsed)
City + State + Zip Code
City + State
City + Zip Code
State + Zip Code
5 Digit part of Zip Code
4 Digit part of Zip Code

A few situations of how this Enhanced Import process can help you are:  If the input data file has the name information stored in one field, but you want it split out into First Name, Middle Name, Last Name with in Postalsoft Business Edition, this Intelligent Import process can do this for you.

If some Company information is stored in the Name field and vise versa, some Name information is stored in the Company field, using the Enhanced Import can help map the correct information to the appropriate fields during import as long as you have the Name (to be parsed) and Company field mapped during the import process.
