Hi,

In my previous blog I demonstrated the screens and fields used in OrgPublisher interface for SAP.

In this blog, I shall attempt to demonstrate how to extract data from SAP into OrgPublisher.

Once again we start with the T-code /N/EHR/SOL71_ORGPUB in the command prompt.

Running T-Code

We reach to OrgPublisher screen as follows:

OrgPublisher Screen

Assuming we are extracting the Current Plan version for Organizational structure, we shall leave the Plan version as 01 for Current Plan, and select Object type O for the Organizational Unit.

Next we define the root object or in this case the root Organization Unit from where we shall start our chart downwards. Use F4 in the Object ID field to browse to the required root object (org unit, in this case).

In Object status, we leave blank to pick the default “All existing” statuses.

Reporting key date, enter the required date, I would leave it to today’s date selected by default.

Primarily we shall be using  only two tabs i.e. “Select  data” and “Output”. For extraction ordinary users will only use these two tabs.

In the “Select data” tab, use F4 search help to select required output format, in this case I shall select the standard output format provided by OrgPublisher /EHR/ORG to extract org chart data. It will auto-generate the Evaluation path used to extract org chart. If we wish we can restrict the extration by dfining the number of levels or leave this field blank to select all levels. This is optional field and we can skip it, by default the system will consider “all levels” unless specified otherwise.

Similarly, the Template field is also optional, but recommended to see the data in a more user friendly manner. Using F4 search help will display the available templates and I would select /EHR/ORG_EN i.e. the English version of the template. I will also restrict it to “One language” to correctly display the text entered in other lanugages using roman script. In one case, where user was using roman script for a language other than English, the field values were not displayed correctly. The display was given in German language, however, restricting the Language for text data to “One langauge” radio button with EN value resolved the issue and the text was displayed in the non-English language as entered by the customer.

Data Extraction - Select data Tab

This is all for the “Select data” tab. Now we need to make a few entries on the “Output” tab before executing the extraction.

NOTE: When we switch over the “Output” tab, the system will prompt that the template is existing and do we wish to overwrite it. We can ignore the message and cancel it.

OrgPublisher - Output Tab

In “Output” tab, all we have to do is select the location where we want to save the ouput file and tick the “Call OrgPublisher application” to view the output after extraction. Default path are preselected in the File ouptut area, but these can be changed using F4.

Now we are good to extract data. Click on Execute button or use F8 key. The system will display a short output report on the number of records extracted, using what output format and evaluation path etc. etc.

Extraction report

The output can be seen in the OrgPublisher’s windows based application.

Extraction Output

This is basically, how, OM data is extracted out of SAP into OrgPublisher. At a basic level no additional information is on display, however, we can choose the infotypes from our SAP HR system and select the fields that we wish to add here. OrgPublisher also offers standard fields to add.

In the next blog I shall demonstrate how to add additional fields in the output.

      Hi Sriram,

      1. In output tab, did you check the “Call OrgPublisher Application” box?

      2. Check if your output path is pointing to the location where OrgPublisher is installed, it may not be on same SAP server. In my case it was an IDES system so you would see the path to same server in diagrams above.

      3.  Normally you extract the data from SAP to the Org Publisher server which publishes the data to users. Thus you would need to point to correct server in the output path.

      Hope this helps.

          Hi Sriram,

Section 4.2-4.4 of installation description guide, which is available in the SAP folder of OrgPublisher installation path (something like c:/Program Filesx86/OrgPub/SAP) explains it. Your basis team can easily handle that.

          Hope that helps.

          Regards.

            Hi Mohammad,

thanks once again for your response, it really helps us out.. i do have a requirement on org publisher, we are using south african and russian systems , currently the details in the org chart comes through english language  including the first name, last name, position. and its details,

but for russia in infotype 0002 we maintain russian names and english names. business only wants the name of the person to displayed in Russian instead of  english.. this requirement is only for Russian country..  is there any way we can achieve using wizards??? only for Russia . south africa should remain as its.. but only for russia name of the employee to come in Russia..  is this can be achieved?.

            Thanks

            Sriram

              Hi Sriram,

If you see the first image in this blog, at the bottom you’ll notice there is language option available.

In this case, I’ve set it to first radio button which is “Language Sequence – Table T778L”. But in second radio button you can choose your preferred language Russion from the selection box where it shown EN currently. Of you may try the third option, user defined language.

              Hope this would help.

              Best regard.

                  Hi Sriram,

If I’m not mistaken, one SAP system only runs in one language and is specific to one country because each country has it’s own specific legal requirements which cannot be mixed up. So I’m unable to catch your statement that both SA & Russian Data is maintained in one system which is not making sense as to how you are running your payroll etc.

If by any change there are two separate languages for the two countries, then you can carry out two extractions leaving SA in English as shown in the image above and for the second extraction for Russian you’ll select Russian language.

Within OrgPub it is always possible to merge two charts below one parent node which falls under OrgPublisher Admin domain.

                  Hope this helps.

                    Hi Mohammad,,

we have one system called P8P in that we have two countries data’s we use. one is south africa and another one is Russia.. can’t we use two countries in same client?,  but the roo org unit is common for all for both,  anyway i will give you a screenshot of that..???

                    is that fine???

                    Thanks

                      Hi Sriram,

I had a quick look back to your original query which is basically for name field change to Russian name only rather than a change of language to Russian altogether.

You can add a custom field for the Russian name that is maintained in IT0002. This can be done within SAP OrgPublisher interface.

For that please take a look at the adding custom fields, Part 4 of the blog series.

                      Hope this helps.

Exactly.. thats what i am looking for.. sure i will be looking for your blog, that only is gonna help me now ,

But i have another question can this be in restricted via country grouping in the coding , or just adding simply the fields over there in wizards? can you help us on this..

                        Sriram

                          Hi Mohammad,

Any Response on my latest query brother.. Just need your advise on this, can this be restricted via Country Grouping or just adding those fields will overwrite the current fields which is being read by the system.  this seems to be challenging one for me..

Can you help me out on this please?

                          Thanks

                          Sriram

                            Hi Sriram,

Could you please open a new thread re this query. This would help others also while keeping this thread clean.

Anyway, the answer to your query is yes, you can restrict a chart but this topic is beyond the scope of current thread.

                            Best regards.

                            Mohammad

I apologize for that.. thought of raising it.. but before raising it.. should i put this under SAP HCM space or any seperate space is there? if you let me know i would raise right away?

                              Thanks

                              Sriram
