This is the first part of the series of blogs in which i will show what steps need to be done for replication of the business partner (BP) and other master data in CRM to ERP Funds Management. Here we have directly integrated with the AP/AR section of FM. Clients also use PSCD integration which could be done on a similar lines but is somewhat different on configuration side.

General Information about Grants Management

Organizations in Public Sector both at State and Federal level provide grants as financial assistance under Federal/State rules and regulations to a group of individuals or a group of organizations as a part of a funding ‘program’ which we in SAP term as  a ‘Grantor program’.The program serves as the unifying element for the grantor delivery system to manage the date entry and transaction processing with overall internal and external accountability.

This group of individuals or organizations (applicants) which apply for this funds money go to the Government’s website and fill up a form which is reviewed under the rules and regulations attached to the program for the applicant’s eligibility. if the application is approved, an agreement is created with the applicant. This agreement creats a fund commitment in ERP FM and when the applicant submits a claim it is charged against this commitment.

SAP has created an interface through CRM middleware for replication of various elements required in Grants Manament. In brief, here is the replication summary:

SAP CRM    ———————- SAP ERP FM 

1) Grantor program  ————–  Funded program

2) Application facilitates creation of  precommitment funds document on ECC.

3) Agreement facilitates creation of a commitment document on ECC.

4) Claim in CRM facilitates the creation of an Invoice against that commitment document in ECC and hence the billing.

Here the master data is the business partner which needs to be replicated as FI Vendor/Customer in funds management (if not using PSCD but only AP/AR on ECC side).

So lets start with the BP replication phase: (This would just be a one way replication where the applicant applies through CRM and gets billed on ECC)

The prerequisite is all the middleware settings should have been completed between the CRM and the ECC system.

1) Define the number ranges for BP groupings in CRM: This number range would be internal in CRM and External in ECC.

CRM (IMG) -> Customer Relationship Management -> Cross-Application Components -> SAP Business Partner -> Basic Settings -> Number Ranges and Groupings

2) Since the BP would be replicated as a BP in ECC we define the same number ranges in ECC too:

ERP (IMG) -> Customer Relationship Management -> Cross-Application Components -> SAP Business Partner -> Basic Settings -> Define Groupings and Assign Number Ranges

3) Activate the post-processing framework: (Business processes CVI_02 and CVI_04 in Component AP-MD)

ERP (IMG) -> Cross-Application Components -> General Application Functions ->Postprocessing Office -> Business Processes-> Activate Creation of Postprocessing Orders

4) Activate PPO Requests for Platform Objects in the Dialog:

ERP (IMG) -> Cross-Application Components -> Master Data Synchronization -> Synchronization Control -> Synchronization Control -> Activate PPO Requests for Platform Objects in the Dialog

5) Create Number Ranges for Vendor Accounts: (these number ranges should be same as that created in Step 2):

ERP (IMG) -> Financial Accounting (New) -> Accounts Receivable and Accounts Payable -> Vendor Accounts -> Master Data-> Preparations for Creating Vendor Master Data-> Create Number Ranges for Vendor Accounts

6) Assign Number Ranges to Vendor Account Groups: (The standard Vendor Acc group is LIEF):

ERP (IMG) -> Financial Accounting (New) -> Accounts Receivable and Accounts Payable -> Vendor Accounts -> Master Data-> Preparations for Creating Vendor Master Data-> Assign Number Ranges to Vendor Account Groups

7) Define Number Assignment for Direction BP to Vendor: (map the CRM BP grouping to the LIEF Account group):

ERP (IMG) -> Cross-Application Components -> Master Data Synchronization ->Customer/Vendor Integration -> Business Partner Settings -> Settings for Vendor Integration -> Field Assignment for Vendor Integration -> Assign Keys -> Define Number Assignment for Direction BP to Vendor

8) Set BP Role Category for Direction BP to Vendor:

ERP (IMG) -> Cross-Application Components -> Master Data Synchronization ->Customer/Vendor Integration -> Business Partner Settings -> Settings for Vendor Integration -> Set BP Role Category for Direction BP to Vendor

and last but not the least:

9) Determine Template for Vendor Account for Replication:

ERP (IMG) -> Public Sector Management -> Grants Management -> Grantor Management -> Integration with Accounts Receivable and Accounts Payable ->Customer/Vendor Integration-> Vendor Integration -> Determine Template for Vendor Account for Replication

Any BP created on CRM side would be replicated as a FI Vendor on the ECC side which can be seen using the BP transaction in ECC.

    Thanks for this interesting blog. Is it possible to restict the replication of the BP as FI Vendor to a particular BP role in CRM. Currently I have some customers whom I do not want to replicate as FI vendors.

      That is true, Keshav. You can replicate a General BP in CRM to a General BP in ECC. The extension of a general BP in ECC to a role of a FI Vendor or a FI Customer comes at a time when you map it to a customer or vendor account group.

    Hi,

    Can you please comment a little more about the template for FI vendor?. I create my template using XK01 transaction, by my BDOC shows error during the creation of vendor data in SAP ECC. It can’t create the vendor complete (not company code), but company code is set up in the template.

    Also, can you describe which FM do I need to activate in SAP CRM and SAP ECC for replicate BP as FI Vendor?.

    There are guide that describes FM for tx CRMC_BUT_CALL_FU, but for Business Partner like Vendor and not like FI Vendor.
