Among the many enhancements to the Business Intelligence (BI) capabilities of SAP NetWeaver 2004s is the new ability to print and export Web documents as PDF files. The following diagram illustrates that this feature is available for all types of Web outputs developed with the Business Explorer (BEx) Web tools.

With your Web outputs (BEx reports, Web applications, queries and query views), you have two ways that you can create a PDF file. With the “Print” option, the system will prompt you to enter print settings (“Print Dialog”). After selecting your parameters, a PDF file will be generated and displayed in your browser. At this point, you can use any of the normal PDF options, such as saving or printing the document.

The new capability to produce PDF documents in BI is based on the SAP NetWeaver Application Server integration with the Adobe Document Service. The user needs only the Adobe Acrobat Reader on his PC; no plug-ins are necessary. Below you can see illustrations of the print setting available in the Print Dialog and an example of a PDF file of a BEx query.

The other option is to “Send” the Web output, which invokes information broadcasting. The BEx Broadcaster in SAP NetWeaver 2004s now supports the distribution of PDF files. You can now use this feature to email, print or save your PDF document to the SAP NetWeaver Portal.

At the bottom of the first illustration, you can see the BEx Web tools in SAP NetWeaver 2004s. The new BEx Report Designer is a desktop tool that allows you to create formatted reports and deploy them via the Web or PDF files. The view of the report in the browser includes the print and send options by default. In SAP NetWeaver 2004s, the BEx Web Application Designer has been enhanced with a Command Wizard. This wizard enables you to easily include the print and send options in the Web applications that you design. The BEx Web Analyzer is the new Web-based ad-hoc analysis tool that allows you to navigate within your queries and query views deployed to your browser. As well as having options to save your analyses to the portal or create a new query view within BI, this tool provides the print and send options as well. In your Web applications and analyses, the print and send options are also available via the context menu. The illustration below shows you an example of a query displayed in the BEx Web Analyzer, where you can see the print and send options in the menu bar.

    Do you know where i can download “The new BEx Report Designer”. In which patch of SAPGUI6.40 it is available? or is it a separate download?

        Hi Raja,

        Please note that you must have the SAP NetWeaver 2004s release of BI in order to use the new BEx Suite tools, including the new BEx Report Designer. This cannot be used with SAP BW 3.5 or other prior releases of SAP BW. See SAP Note 889314 for more discussion on this. SAP NetWeaver 2004s is in ramp-up and is expected to be in mass shipment in Q2.

          Hi Katie,
          I went through this weblog and I see that looks very simple. I am working on ramp-up BI 7.0 and when we are using the commans send or print and when the Print dialog comes up from where it is supposed to make a adobe I am getting an error ” Error while generating Adobe” when I have a adobe on my machine.
          Do I need adobe writer or does the adobe needs to be installed on Portal Box.?

            Hi Kiran,

            It is supposed to be easy to us end-users!  ;^)

            The Adobe print functionality should require only the Adobe Document Service, which is part of the SAP NetWeaver AS functionality. I have run into the same error message on our test systems, and it has been caused by a number of things – most of which had to do with the configuration of the J2EE enging. One thing that you can check is the following:

            “Please launch the visual administrator for the j2ee engine.      
            Please look at security provider service and display user ADSUser.
            I think option ‘No password change is required’ is not selected. Please place a check in this option.”

            As I am just copying this from the response to one of my internal messages, I can only tell you that this at least fixed the problem for me in one system. I saw that you have also posted this in the SAP NetWeaver 2004s forum for BI, which is the best place to find others who may have run into similar problems. If the above doesn’t help or someone on the forum doesn’t have a better suggestion, then I think you’ll have to put in a customer message.

              What Katie has suggested is one good possibility for a missing setup step in the ADS configuration.  However if this doesn’t solve your problem, then I would make sure that your system adimistrators have gone through the complete Adobe Document Services Configuration Guide for Netweaver 04s.  It can be found on the service marketplace under the alia adobe (service.sap.com/adobe).  This will open the Netweaver section to Interactive Forms based on Adobe Software.  You then can find the configuration guide under Media Library->Documentation (along with other useful information on the use of ADS).

          Can we use PDF based web printing using existing BW 3.x web templates with minimal changes. We are running BI 7.0 with SP7 and EP 7.0 with SP7. I would like to use the PDF printing on my 3.x web templates without migrating to 04s web templates.

          Is this possible?

      Does the PDF printer for web reports “Fit to X pages wide by Y pages tall” like Excel?  Frequently our BI users want to print out reports that span many pages and this is a key feature they need.  In your example you print a small table that would easily fit on 1 page normally, what about something that is 30 columns wide with each column containing 15 – 20 characters?

      I read your post. I am facing a similar problem, ie. i want to print the whole report with all the pages that it has and not only the 1st page that is shown while executing the report.

    I don’t know exactly if after the import of these OT, the printing in PDF document will be available.
    We are in BW 3.5 and NetWeaver 04 SAP Basis Level 16.

      This feature is an enhancement delivered with the new BEx Web tools in SAP NetWeaver BI 7.0 (formerly known as SAP NetWeaver BI 2004s). It is not available with the BEx 3.x tools still shipped with BI 7.0, and it is not available in SAP BW 3.5.

    Hi,

    We are testing the ADS and trying to print some queries. Depending on the query used, we got different error message when we click on “Print version”.

    We manage to fix the error but for my understanding when the system try to generate PDF file, does it try to regenerate the query also? since the query work correctly in Analyzer and in Web Analyzer but does not work when printing to PDF.
