Let us assume you use business workflow in your SAP application systems.  Users access their workflow tasks via universal worklist in the SAP NetWeaver Portal.  When a user receives a task, for example, approve purchase requisition, the user needs some help before approving the purchase requisition.  At this point the user can create a collaboration task to start an ad hoc, self-defined process.  Beginning with NW04, SPS15, collaboration tasks can link to the business objects.  So, when the user creates the collaboration task for the purchase requisition, the purchase requisition object can be tied to the collaboration task.  Here is an example of how this can work.  In this first graphic you see a task to release a requistion in my UWL. image   This business workflow task is from an ERP2004 system.  On the bottom right of my UWL is a ‘You can also’ section.  image In this section I select to create an ad hoc request.  That enables us to create a collaboration task.   imageimage Notice the “Display Link To Business Object” in the task.  This is new in NW04 SPS15.  This means that the business object display method, that is natively embedded in the workflow task, will be passed on to the collaboration task.  The task is created and sent on.  The next graphic is the collaboration task in my universal worklist. image When I select this task I can view the business object via my “You can also” menu. image When I select “View Business Object” a new window appears and I can see the business object.  image There is only one small prerequisite for this new functionality to work.  It should default to the correct setting, but just to verify, go to System Administration – System Configuration – Universal Worklist & Workflow – Workflow. image The workflow engine has a parameter called “Enable Link To Business Object”.  This should defaut to true. image This is great new functionality for collaboration tasks.  I can create my own ad hoc steps and pass on the business object for my colleagues to review!  Give it a try!

I forgot to mention that when the user clicks on the link to see the business object, of course they must have a user mapping defined to that backend system and they must have correct authorization to view the business object.

      Hi Ginger,

We are using NW04 SP18 and we dont have some of the options like “Map decision to parent Task” which is disabled and “Display to Link Business Object” doesnt exist. I also checked in the worklow engine settings and we dont have a parameter named “Enable Link to Business Object” but it shows me a whole new set of parameters. can you throw some light on this.

      Thanks in advance.
      Shyam.

        Hello Shyam,
I thought that in “System Administration -> System Configuration -> Universal Worklist & Workflow -> Workflow -> Engine” the default value should be ‘true’ for the configuration property, “enable link to business object”.  I just checked my settings in a NW04s, SPS8 box – it has the property name “Enable link to business object” – it did default to ‘false’ – I change it to ‘true’ – then it should work.  I don’t think you need to set any other fields than the one.   Which fields do you see?

          Hi Ginger,

Thank you for the prompt response. we are using NW2004 SP18.and when we goto system admin->system config-> universal worklist & workflow->engine doesnt have the property “enable link to business object”. if you could give me your mail id i could send you a screen shot of the same.

          Thanks

    Hello Ginger,
I just found your weblog, and it is pretty close to an actual requirement i try to solve. As you are obviously very good in workflow and collaboration, i hope you may be able to help me.

I get an UWL task from the webflow connector (from the backend SAP system).
However, I need this task to be related to a specific collaboration room (like a collaboration task created in a room). When creating the business workflow task in the backend system, i could use some extra coding to determine the correct room guid , but i habve no idea where to put this room relation in the task.
So do not know how to create a task in UWL (from a business workflow item) which is also linked to a collaboration room.

    thanks in advance!
    Johannes
